TITLE OF POSITION: Assistant Athletic Director/Athletic Facilities and Events

DEPARTMENT: Athletics Department

POSITION REPORTS TO: Senior Associate AD/Internal Operations

OVERVIEW:

Manhattan College an NCAA Division I institution and member of the Metro-Atlantic Athletic Conference (MAAC), is seeking a qualified candidate for a 12 month, full-time position of Assistant Athletic Director of Athletics for Athletic Facilities and Events for 19 varsity sports. The candidate is directly responsible for managing and oversight of 5 athletic facilities: Draddy Gymnasium, Alumni Hall, Gaelic Park, The Gaelic Park Athletic Center (GPAC) and Van Cortlandt Park permits and Clover Stadium. The Assistant AD/Athletic Facilities with the assistance of two (2) graduate assistants will handle internal and external scheduling of Manhattan College teams, club teams, (GAA) Gaelic Football Program and any rentals that the college has such as camps and clinics. The individual is also responsible for pre-game and game day set-up, break down and clean up.

RESPONSIBILITIES:

Event Management -

  • Train and oversee graduate students, student workers and event staff and personnel.
  • Responsible for pregame set up, game day presentation, breakdown and clean up.
  • Contact all visiting teams, coaches and administrators before hosting a home game to coordinate parking and post game needs such as locker rooms, showers and meals.
  • Secure staffing for games a week prior to the event.
  • Responsible for pregame, in game set up, overall fan experience as well as breakdown of facility used including the moving of bleachers in Draddy Gymnasium.
  • Set up work standards, schedules, layouts, timing and rules for administering a game or event including staff positions and responsibilities.
  • Knowledge of equipment and ability to on-the-spot troubleshoot a problem.
  • Oversees the functioning of scoreboards and console, graphic scorer’s table and indoor scoreboard.
  • The movement and setup of bleachers and stands prior and after every game.
  • Greet the officials before every game and handles the radios and precision timing so that they can conduct their on court responsibilities during the game.
  • Identify needs and secure any Public Safety Officers necessary.
  • Handle all payroll logs and review timesheets for submission.

Facility Management –

  • Schedule of athletic facilities use for practice, competition, special events and any other rental requests.
  • Coordinate times and needs for any of the facility usage.
  • Supervision and responsibility of overall game day operation.
  • Prioritizing of projects, plans and issues that arise on a daily basis and when possible, delegate to share the responsibility.
  • Creating the schedule of gym operational hours.
  • Submit work orders and telecommunication requests, track and followup on those orders for coaches, players and administration.
  • Coordinate the function of lights on the field and in the gym as well as security schedules for checking.
  • Track and submit work orders for new keys and lock changes.
  • Communicate with contractors for facility needs and project proposals.
  • Coordinate and provide access to equipment and laundry rooms for coaches and student workers.
  • Oversees all deliveries of the 19 sports and all coaches that have deliveries sent to the gymnasium.
  • Prepare a public field (VCP) for the college’s track meets and for baseball programs.
  • Mow the baseball field, weed removal and clear snow.
  • Responsible for the entire fleet of vans and vehicles for the department from cleaning, maintaining, record keeping, refueling, E-Z pass replenishment and resolving any violation issues.
  • Updating registration, inspections and insurance of the vehicles with the business office.
  • Submitting driver’s licenses for driver background check and school approved drivers.
  • Must be willing to accept other responsibilities.

REQUIRED QUALIFICATIONS

  • Bachelor’s Degree required. Master’s Degree preferred in related area.
  • Minimum of 3-5 years of full-time experience at the Division I level or related area.
  • Strong attention to detail and good presentation of all facilities.
  • Assertive, outgoing, and resourceful and maintain a professional demeanor when working in a fast paced environment.
  • Ability to foster positive relationships and create partnership with campus constituents and to work together address issues.
  • Working knowledge of NCAA rules and regulations.
  • Possess a valid driver’s license.
  • Required to travel while conducting daily work.
  • Must have the ability and desire to work nights, weekends and some holidays when necessary.
  • Coverage for all home games must be assigned coverage.
  • Ability to work effectively with coaches, students, faculty, administration and external constituents.
