Position Summary:

The Application Service Specialist at Campbell University Jerry M. Wallace School of Osteopathic Medicine (CUSOM) is responsible for overseeing the application process for Campbell University School of Osteopathic Medicine. This responsibility includes working closely with the centralized application service (AACOMAS) to obtain applications, actively engaging in the selection process for secondary application, including the prescreen committee. The Specialist will participate in occasionally with recruitment events both on-campus and regionally.

Essential Duties and Responsibilities:

  • Oversee all aspects of the primary application process.
  • Serve as a point of contact for application issues with AACOMAS.
  • Represent the School in a positive and productive manner.
  • Maintain organized and confidential student information.
  • Report statistical data as needed.
  • Participate in regional and local recruitment events to market the School to prospective students and pre-health advisors as needed.
  • Maintain current knowledge of the college and osteopathic medicine.
  • Travel to various professional meetings, conferences, and engagements.
  • Maintain active representation in appropriate agencies and groups.
  • Support Admissions with prospective student events such as ShaDOw Days, Open House, virtual and in-person workshops, and other events as needed.
  • Support Student Affairs with student events such as Accepted Students Day, Orientation, White Coat Ceremony, Convocation, Graduation, and other events as needed. This includes interaction with faculty, administration community leaders and outside vendors.
  • Respond to emails/phone calls daily regarding admissions and other various issues.
  • Maintain a professional appearance and demeanor at all times.
  • Uphold and abide by Campbell University policies and procedures, including, but not limited to; Title IX, HIPAA, and FERPA guidelines.
  • Other duties, responsibilities and activities may change or be assigned at any time with or without notice.

Education/Experience:

  • Bachelor degree from an accredited college or university.
  • Successful academic experience in a medical school/or higher education, is preferred.
  • Experience in a higher education or non-profit sector, is also preferred.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively to all groups through both oral and written channels.
  • Ability to maintain confidentiality and attention to detail are essential.
  • Ability to respond calmly and appropriately in emotional situations.
  • Ability to listen and communicate in a positive manner.
  • Must be proficient in word processing and computer usage experience.
  • Ability to collaborate and interact with health care professionals.
  • Ability to organize, direct, and prioritize work appropriately.
  • Ability to manage time well and work under stressful conditions with an even temperament.
  • Knowledge of Microsoft Word, Outlook, Excel, PowerPoint and the Internet
  • Ability to maintain confidentiality.
  • The ability to demonstrate tact, courtesy and discretion in dealing with faculty, staff, students, high-level university officials and the public.
  • Ability to work independently as well as function effectively in a team and within a diverse group of people.
  • Ability to exercise independent judgments in complex and new situations.
  • Ability to manage multiple, concurrent projects, and still meet strict deadlines.
  • Detail-oriented and willing to work in a changing environment including researching new ways of accomplishing tasks, participating in training sessions, and being a self-starter and a team player, and willingness to assist in other areas as needed.
  • Computer proficiency utilizing current and new computerized teaching technology and familiarity with communicating education platform (such as Blackboard).
  • Broad knowledge of Campbell University policies and procedures.

Complexity of Duties:

Complexity of duties will be commensurate with level of experience.

Types of Contacts:

This individual will have daily interactions with CUSOM faculty (on-campus and off-campus), staff, and medical students. Interaction with outside vendors, guests of CUSOM, and any other affiliates will be possible. Heavy telephone and email usage apply.

Decision-Making:

This individual will provide guidance and instruction within as well as outside the University setting.

Mental Demands: (complexity of duties, decision-making responsibilities, etc.)

  • Ability to understand oral and written information and organize thoughts and ideas into effective forms of communication.
  • Ability to make decisions which range from moderate to a significant impact on the immediate work environment, as well as outside contributors.

  • Requires attendance at events within as well as outside of the University setting.
