Position Purpose
The Advancement Associate for Advancement Systems and Services (ASAS) is responsible for overseeing special projects, managing critical office functions, and providing operational support to the Executive Director of Advancement Gift, Data & Compliance Services. This position requires considerable discretion and judgment in coordinating and responding to communications and problem solving. The Advancement Associate must be able to work in a fast-paced, collaborative office environment, and demonstrate a high degree of professionalism.

Bachelors or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities
  • Five plus years of experience with complex administrative information management systems
  • Excellent research, problem solving and analytical skills, including the ability to interpret business data and information
  • A critical thinker with a knack for process improvement and problem solving; experience troubleshooting complex issues
  • Excellent interpersonal, written, and verbal communication skills
  • Highly proficient with Microsoft Office products (Excel, Word, PowerPoint) and comfort level using relational databases
  • Ability to work independently with minimal supervision as well as be a strong cross-functional team player
  • Ability to prioritize and perform in a fast-paced environment
  • Ability to understand policies and to apply procedures
  • Demonstrated accountability for work accuracy and attention to detail
  • Sensitivity and respect for confidential information
  • Demonstrated ability and eagerness to apply the core values of Advancement

Key Accountabilities

Description
Collaborates with leadership team and manages special projects within Advancement Data and Support Services and Gift Recording Office, exercising considerable independent judgment in responding on behalf of the Executive Director in a professional manner and involving others within Advancement when required. Serves as primary traffic control for capturing and organizing issues, assigning service work, and following up on team activity with a goal of boosting team productivity and elevating the customer service experience. Communicates effectively and respectfully with a diverse community, including alumni, parents, staff, faculty, and students. Assumes ownership of conveyed customer inquiries, issues, or concerns and accomplishes effective resolution in a timely manner, using judgement to escalate issues when appropriate. Keeps management apprised of the status of important issues.

Description
Assists with the planning and logistics for major operational events – fiscal year end, calendar year end, giving challenges, reunions, incoming student process, student transition to alumni, etc. Works on special projects and other tasks related to constituent data management and develops expertise in using specific web-based applications and other technology tools to manage and maintain individual, corporation, foundation, and other organization data. This includes researching and recording transactions, extracting, and reviewing data, ensuring accuracy and completeness of Advancement data.

Description
Identifies gaps in tools, policies and procedures and collaborates with ASAS to assess the gaps and actionable steps that support existing or emerging business priorities. Serves on teams managed by ASAS or ITC at Dartmouth that evaluate new and emerging tools in support of Advancement priorities. Participates in testing upgrades or changes to data systems, makes recommendations for process improvements, workflow, and automation. Identifies continuous improvement opportunities within systems and processes to increase efficiencies and/or value.
