Position Summary:
The Administrative Specialist II is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
The Administrative Specialist II works with the A-State Online Advising Team to ensure all students are advised appropriately and efficiently.
- Processes permits in Banner for students to facilitate registration
- Ensures students meet satisfactory requirements to register for specific classes – internships, capstone etc. prior to issuing permits.
- Process transfer credit forms, routing to appropriate program director for review and approval – ensure processed by transfer evaluator following approval from Registrar’s Office.
- Handles incoming phone calls for advising to ensure students are kept on track to graduate and has a basic knowledge of all online programs to assist where necessary.
- Coordinates/assists with processing of graduation check sheets and ensures they are tracked and routed to Registrar’s Office for processing each term.
- Assist with running degree evaluations (CAPP/DegreeWorks) for students
- Assist with processing degree check lists for financial aid purposes.
- Assist with development of advising resources, materials for A-State Online Resources area.
- Be willing to multi-task and handle a variety of ongoing projects while dealing with a large online student population.
- Be able to handle a fast-paced environment with a high volume of students in the online space.
- Be able to communicate professionally with program directors and department chairs.
- Serve as a liaison with licensure/certifying department to ensure students professional licensure documents are processed efficiently.

Knowledge/Skills/Abilities:
Knowledge of record keeping procedures
Knowledge of the principles and practices of mathematics and statistics
Knowledge of work-related subject area
Knowledge of computers and software applications
Ability to conduct research and compile data into report form
Ability to establish and maintain filing systems
Ability to operate standard office equipment
Ability to analyze documents to determine compliance with rules, regulations, and procedures
Ability to communicate both orally and in writing
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

This position has been identified as a telecommuting position. The duties are performed during standard work hours of 8am-5pm at a predefined and approved work location. Individuals filling this role must have dedicated work space that provides privacy and security related to the work being performed. Additionally, individuals must have secure internet access with appropriate upload/download capabilities to perform the duties associated with the position. Individuals in this position will be required to review and acknowledge the Telecommuting Guidelines and Telecommuting Agreement for A-State.
Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) year of experience in a specialized or related area applicable to work performed
Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
