Job Summary
Scottsdale Community College (SCC) is seeking a full-time Administrative Specialist Senior. This position reports to the Library Division Chair and supports the work of the faculty and staff in the Library Division. The responsibilities are diverse and require skills in advanced administrative and secretarial office support, program and project coordination, independent decision-making, problem solving, effective communication, and customer service. Maintains communication with other administrative specialists, departments, and vendors as needed. This position interacts with diverse students, faculty, staff, administration, and the general public while maintaining confidentiality and providing excellent customer service.

Essential Functions
30% - Communicates with and supports students, faculty, staff, administration, vendors and members of the community regarding policy/procedural events or program information; receives and responds to inquiries and information requests, resolving issues or referring requests to the appropriate resource. Provides strong customer service for assigned systems or service area and provides technical assistance and specialized administrative office support.
30% - Coordinates with the department chair and department team members, coordinates calendars, researches and makes travel arrangements; provides administrative support to the Library Division related to meetings, events, or office services; assists with research, gathers information, and coordinates activities; researches, gathers, compiles, and reviews data and information in support of assigned function, program, project, or support area. Creates documents, reports, correspondence, and/or other communication materials and oversees the maintenance of files, records, database information, and documentation related to assigned area and according to established procedures; performs administrative office support activities related to meetings, events, classes, or building services.
25% - Monitors and tracks budgets, funding, and expenditures; assists with budget preparation; and coordinates travel and events, inventory and replenishing of office supplies and office equipment maintenance services. Creates Purchase Orders/Requisitions and coordinates with vendors for library subscriptions; purchases, reconciles, and track Library credit card purchases.
10% - Communicates with internal and external resources regarding policy/procedural, event or program information; and receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resource; Provides training and orientation to other staff and adheres to applicable policies and procedures.
5% - Performs other duties as assigned.
Minimum Qualifications
Associate’s Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR
High School Diploma or GED and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
Desired Qualifications
A. Two or more years recent (in the past 5 years) experience in an administrative role
B. Effective written communication composing standard office communications as demonstrated in cover letter and resume.
C. Experience monitoring budgets, preparing requisitions, invoicing, and maintaining financial records using an online Financial Management System.
D. Ability to take initiative, prioritize tasks, manage projects to completion in a time efficient manner to meet division needs.
E. Ability to succeed in a team environment by communicating effectively, contributing expertise, and following leadership directives.
F. Demonstrated recent experience (5 years) delivering excellent customer service to diverse populations and internal and external customers.
Special Working Conditions
- Travel to campus during the interview/selection process will be at the candidate's own expense.
- Will be required to travel or be assigned to other MCCCD locations.
- May be required to work evenings and weekends.
- May require prolonged periods of sitting and viewing a computer screen.
- May be required to lift or carry up to 25 lbs.
