JOB DESCRIPTION


JOB GOAL:

To operate the telephone switchboard, receive visitors, and perform assigned clerical duties efficiently and effectively.


QUALIFICATIONS:

  • High School Diploma or possession of an acceptable equivalency diploma.
  • Minimum of one (1) year experience or training in receptionist responsibilities.
  • Minimum of one (1) year experience or training in the operation of a switchboard.
  • Valid Florida Driver’s license.
  • A comparable amount of training and experience may be substituted for the minimum qualifications.


KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of the operation of a switchboard. Ability to speak clearly and distinctly in a well-modulated and pleasant voice, and to use correct grammatical construction and choice of words. Ability to remember accurately, within a reasonable training period, the names and locations of personnel, and to understand School District operations. Ability to react quickly and calmly in placing and receiving calls of an emergency nature. Ability to operate a large switchboard under conditions of heavy load, calmly and efficiently. Ability to keep simple records accurately and perform general clerical functions.

PERFORMANCE RESPONSIBILITIES:

  • Receive incoming calls and make proper connection to office requested.
  • Answer routine non-technical questions and refer other questions to proper department.
  • Keep records of long-distance calls.
  • Direct visitors to proper offices and provides routine information.
  • Perform various clerical functions using a computer.
  • Post, record and file correspondence and reports.
  • React quickly and calmly in an emergency situation on the switchboard or at the front desk.
  • Ensure adherence to good safety standards.
  • Maintain confidentiality regarding school/workplace matters.
  • Meet and deal effectively with the general public, staff members, students, parents, administrators and other contact persons using tact and good judgment.
  • Exhibit interpersonal skills to work as an effective team member.
  • Model and maintain high ethical standards.
  • Represent the District in a positive and professional manner.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Respond to inquiries and concerns in a timely manner.
  • Keep supervisor informed of potential problems or unusual events.
  • Demonstrate support for the school district and its goals and objectives.
  • Prepare all required reports and maintain all appropriate records.
  • Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  • Ensure that security procedures are enforced and security guidelines are followed.
  • Copy and assemble Board materials.
  • Process Leave Forms and time sheets for department staff.
  • Sort and deliver mail as needed.
  • Enter purchase orders and work orders in system.
  • Log incoming and outgoing certified mail, packages and other material as required.
  • Update postage meter, print reports and bill accounts accordingly.
  • Perform computer data entry as required.
  • Perform other tasks consistent with the goals and objectives of this position.


PHYSICAL REQUIREMENTS:

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as frequently as needed to move objects.


TERMS OF EMPLOYMENT:

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be those established by the District.


EVALUATION:

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of personnel.
