Summary

Under the general supervision of the Community and Economic Development (CED) Director, the Administrative Coordinator performs a variety of highly responsible, confidential and complex administrative and secretarial tasks in relieving the CED Director of administrative detail, assuring the Department runs efficiently and effectively. The position requires that the Administrative Coordinator maintain a professional, courteous, trustworthy and respectful demeanor in all written, spoken and personal communications/interactions. Provides “front line” customer service for the Department as the primary person interacting with walk-in and telephone customers.

Job Duties

Provides information related to building permits and inspection requirements to the public. Describes procedures for obtaining permits and advises applicants of potential problems and options. Approves permits or discusses other options and responds to telephone inquiries regarding permits and building codes.

Handles confidential personnel issues for the Department, ensuring City policies are followed; coordinates with Human Resources regarding policies, procedures, and ensuring that necessary paperwork is completed.
Prepares work orders for needed repairs and maintenance. Greets walk-ins and appointments with professionalism and friendliness.

Responsible for registration and travel arrangements for Community & Economic Development Department Staff to attend conferences, seminars, meetings and retreats. Secures documentation and travel expense reports as required by City policies.

Consults with the general public in person and by telephone. Explains applicable codes and regulations for development proposals and describes procedures for processing permits and applications.

Processes inspection requests, verifies final inspection clearance and prepares Certificate of Occupancy for issuance.

Assists home owners, business owners, contractors, engineers and architects in person and over the phone with permitting requirements and procedures.
Processes and issues building, electrical, plumbing, mechanical, grading and other related permits.

Enters permitting information into the Accela system.

Performs records research and compiles information for Open Records requests related to the Community & Economic Development Department.

Serves as secondary Permit Technician.

Work requires knowledge of a technical nature related to building codes, construction practices, plan review, permitting and inspection procedures.

Performs special projects and other related duties as required.

Minimum Qualifications

Education and Experience:


High school diploma or G.E.D.


Associates Degree in Business Administration preferred.


Five years of related administrative experience. Of the five years of related administrative experience, two years experience working in a government setting desirable.


Any equivalent combination of education and experience, which provides the minimum level of qualifications, stated above.


Licenses and Certifications:


Valid Class C Driver’s License and a satisfactory Motor Vehicle Record (MVR).


Notary Public for the State of Georgia


Knowledge, Skills, and Abilities:


Knowledge of and/or able to learn Records Management Practices at Federal, State, and Local level.


Knowledge of the Open Records Act.


Knowledge of general office practices and use of office machines.


Knowledge of computer operations.


Knowledge of Microsoft Office applications to include Outlook, Word, Excel, Access, PowerPoint, and Publisher.


Knowledge of all City departments’ functions and responsibilities.


Ability to communicate clearly and effectively, both orally and in writing and interact with citizens and employees with tact and diplomacy.


Ability to establish and maintain effective working relationships with employees of all levels.


Ability to give instructions and follow-up with attention to details.


Ability to work independently and exercise sound judgment in decision-making and when determining best course of action in handling complex issues.


Ability to use discretion, maintain confidentiality and diplomacy.


Skill in proofreading and editing documents.
