Metabo HPT is looking for a detailed-orientated Administrative Coordinator to perform a variety of administrative tasks in our Administration department. The responsibility of the Administrative Coordinator include providing support to the department Assistant manager, and in daily office needs and managing our company’s general administrative activities.
Job Summary
Responsible for a wide variety of administrative and program support activities. Coordinates the provision of office and leadership support, and oversees and/or participates in the coordination, supervision, and completion of special projects and/or events. May serve on a variety of committees in a support capacity.
Duties and Responsibilities:
· Provide full range of administrative and back up support to the department Assistant Manager of Administration
· Support senior managers and executives with daily clerical tasks to include but not limited to plan meetings
· Answer phone calls, provide information to internal and external callers to appropriate people
· Schedule appointments and update calendar
· Make travel arrangements and reservations for senior managers
· Compose and type regular correspondence
· Develop and maintain a filing system
· Create spreadsheets, presentations and maintain tracker
· Greet and provide general support to visitors
· Respond to and resolve administrative inquires and questions
· Prepare and submit expense reports through Concur
· Assist with company events and activities, running specific events as needed
· Coordinate regular backup coverage for receptionists and provide a training to manage all aspects of reception areas
· Maintain filing systems to include electronic and record keeping systems
· Manage incoming and outgoing mail and packages
· Sort, label, file, scan and retrieve documents and other materials
· Monitoring the security operations of a company
· Perform other related administrative duties as assigned
· Conform to all Koki Holdings policies and procedures
Computer and Mathematical Skills
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and SharePoint.
· Analytical ability tocreate spreadsheets and reports related to expense analysis.
· Proven work experience as an administrative assistant, virtual assistantor senior administrative assistant
· In-depth understanding of office management and daily operations
· Excellent verbal and written communication skills
Qualifications:
Qualifications include:
· Associate degree (AA) or equivalent from two-year college or in related filed with strong background in business management.
· Three to five years of experience in an administrative role.
· Candidate will possess excellent communication (verbal/written), organizational and interpersonal skills
· Excellent time management and ability to complete work under tight deadlines
· Ability to work independently
· A positive attitude and can adapt to changes
· Strong organizational, time management, and detail orientation
Language Skills
Ability to read and interpret documents such as safety rules; operating and maintenance procedures; instructions and procedure manuals; blueprints, etc.
Ability to write reports and correspondence explaining cost of expenses, etc.
Working Environment
The work environment may/will require lifting items weighing up to 25 pounds, standing in one place for periods of time, and moving about the facility. The position requires occasional late evening or early morning meetings, as well as use of power tools. Must be able to speak clearly in small group settings. This position will require sitting for long periods of time, walking, standing, bending, and walking, as well as using fine motor skills, such as finger dexterity for typing and using small hand tools. This position could be exposed to loud noises, frequent phone conversations, and requires average to above average visual acuity and hearing. The majority of this job will be spent indoors in a climate-controlled environment.
