GENERAL DESCRIPTION OF POSITION:
Under the direction of the Administrative Manager performs general clerical and administrative support functions. Excellent customer service skills must be exercised to assist a wide range of people including employees, visitors, and vendors. Duties performed require knowledge of principles / practices and general office management. Strong organizational, communication and technical skills are required to perform a wide variety of administrative functions. This position must maintain confidentiality. This work is fast-paced and diverse.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Answering telephone and greeting visitors; providing general information; typing documents; preparing and maintaining files and records.

Acts as receptionist; greets visitors; answers telephone; provides information; forwards calls to appropriate party; assists the public with the completion of standardized records or documents; directs visitors to appropriate party.

Types a variety of documents including correspondence, lists, labels, reports, requisitions, maintenance work requests, memoranda, reports, etc.; checks items for clerical accuracy and completeness.

Enters a variety of data into computer; prepares reports and logs; screens, verifies and reconciles input data; performs edits and updates.

Schedules meetings in conference and training rooms.

Composes, mails and faxes bid and RFP information to vendors.

Maintains and issues motor pool keys; distributes building keys.

Sorts, indexes and maintains files; maintains records on customer requests.

Receives citizen inquiries, complaints and service requests and resolves them within the framework of the established policies and procedures or forwards to appropriate party for disposition.

Ensures quality and accuracy of patient care reports for Medicare compliance and billing.

Troubleshoots for volunteer agencies within the EMS charting system.

Intakes and processing of volunteer applications and background checks.

Compiles statistical data for EMS agencies.

Maintains Fire & Rescue website.

Operates a variety of standard office equipment; performs light maintenance on office equipment; signs out equipment such as projector, screen and easels.

Performs related tasks as required.

QUALIFICATIONS:
Education /

Experience :
Any combination of education equivalent to a high school diploma or general education degree (GED). Supplemental business administration, Associate’s degree or equivalent preferred.
