The Economics Department consists of four faculty members and enrolls approximately 60 majors. The Criminal Justice Department has undergraduate and graduate programs, 16 faculty, one administrative assistant and approximately 850 students. In the Criminal Justice Department the administrative assistant will report to the chair. In the Economics Department the administrative assistant will report to the chair.

Position Summary:
The Administrative Assistant I will serve as the initial contact for internal and external clients, responding to inquiries via phone, in person and email; administrative matters regarding academic affairs, student needs, faculty concerns, and budget/scheduling issues. The Administrative Assistant presents a positive, professional, knowledgeable and accessible representation of the department. This is a shared position with 50% assignment to the Criminal Justice Department and 50% to the Economics Department. Supervision will be provided by the Economics chair and the Criminal Justice chair.This is a full-time, 12-month, AFSCME and is subject to the terms of that unit agreement.
Tour of Duty: 8:45 a.m. - 5:00 p.m.
Monday through Friday
(Saturdays and Sundays as days off)*

Essential Duties:

  • Respond to office inquiries, via phone, in person or email.
  • Assist Department Chairpersons and Faculty with verification and data entering of course schedules.
  • Assist the Department Chairpersons with the organization and facilitation of major department events.
  • Coordinate departmental events by reserving required facilities, taking RSVPs, ordering food and beverage items, and notifying appropriate individuals of dates, times and locations.
  • Coordinate monthly department meetings, record minutes, and prepare necessary materials.
  • Monitor and maintain budget for travel and professional development.
  • Monitor usage, reconcile charges, and maintain appropriate records for department procurement card.
  • Update and maintain the Department web page and social media platforms.
  • Maintain inventory of office supplies and order supplies as needed.
  • Maintain department files and information databases.



Required Qualifications:

  • Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below:
    • An Associates or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
    • An Associates or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

  • Proficiency with a variety of software platforms including the MS Office Suite, Banner, Blackboard, InfoBear, or equivalent systems and social media platforms.

  • Proven ability to use available software for record keeping, document preparation and reporting.
  • Strong written and oral communication skills.
  • Ability to maintain appropriate timelines for assignment to two departments.

  • Experience in working in a higher education setting.
