Job Description:
Homeland Safety Systems is a rapidly expanding and ever-changing company with a core focus in industrial and commercial security consulting, design, engineering, and installation of access control, CCTV, and communication equipment for high end, complex electronic security systems. We currently serve customers throughout Louisiana, Mississippi, Arkansas, and Texas.
Homeland Safety Systems is looking for an Administrative Assistant who will thrive in an active and fast-paced environment. A successful candidate will be responsible for providing support to our Sales team by assisting in daily office needs and managing our company’s general administrative activities.

This position is located in our corporate office in Shreveport, Louisiana.
Responsibilities:
- Create proposals, facility drawings, and other project documents to send to Engineering for approval
- Track Sales’ team activities through Daily Project Reports and compile the information for weekly Sales meeting
- Verify that all necessary information is inputted and updated in Pipedrive CRM
- Assist Sales Manager and Sales Coordinator in ensuring Sales team members are regularly and actively corresponding with customers
- Assist team members by using Pipedrive CRM to follow up with customers
- Assist team members collaborate with Marketing to generate leads
- Assist in making sure that any project changes or updates are communicated with Sales, Engineering, and Operations teams.
- Create, maintain, and continuously update list of current and prospective customers
- Sustain a thorough knowledge of past and current account histories and statuses
- Cultivate a curiosity and passion for the security industry and the work that we do within schools, prisons, etc.
- Develop and maintain a strong knowledge of HSS products and knowledge of the security industry including trends and potential impact on clients. Apply product and industry knowledge to drive sales and serve customer needs
- Build and maintain positive rapport with customers
- Maintain physical and digital files of Sales paperwork
- Assist Sales Representatives call clients and schedule meetings and walkthroughs
- Attend trade shows with other members of the technical and sales team as requested
- Document all contacts made and details of discussions had for all team members in attendance of the show
- Assist in the set-up/break-down of the demo display for the trade show as needed
- Develop an effective, productive, and respect-based working relationship with all coworkers
- Other Administrative tasks as needed
Requirements:
- Clean Background
- Ability to pass state and federal background checks to obtain industry licenses and security clearance
- Must pass pre-employment and random drug screens (Required by State Law)
- Current driver’s license and clean driving record (MVR)
- Thrives in a fast-paced, rapidly changing, and high-growth environment
- Knowledge of Microsoft Office and use large database systems
- Ability to develop leads as well as work with leads given
- Contribute to a continuing positive and efficient work environment
- Always promote a positive company image
- Possess the ability to work independently while maintaining an open line of communication with management, members of the sales team, and customers.
