JOB SUMMARY:

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks for multiple personnel working independently and as part of an administrative team, with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people and programs.


ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Plan and manage events and meetings for entire Birmingham location.
  • Create, edit, and distribute communication materials and messages for the location.
  • Work with IT to ensure equipment in offices and meeting rooms is setup and functions properly.
  • Update databases and other company materials as needed.
  • Assist and monitor internal and external guest visits. Ensure compliance with company policy.
  • Answer and direct incoming phone lines and visitors promptly and efficiently.
  • Responsible for calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex meetings.
  • Experience with travel schedules, making travel reservations for the team, both domestically and internationally.
  • Communicate and handle incoming and outgoing email communications on behalf of the team he/she supports.
  • Assist colleagues with preparation of presentation materials (i.e. reserve conference room space, partner with IT, order meals, and prepare slides).
  • Prepare and submit expense reports and supporting documents.
  • Contribute to the overall administrative team by completing a range of general administrative duties as needed (i.e. ordering supplies, data entry, check mail, prepare FedEx packages, event planning/hosting etc.).
  • Other duties as assigned.


EXPERIENCE & QUALIFICATIONS:

  • High School diploma and a minimum of 2 years’ experience supporting senior staff on an administrative level.
  • Experience working in life sciences – pharmaceutical, biotech, med tech or med devices preferred.
  • Experience working in both large and small companies highly preferred.
  • Excellent calendar management skills, including the coordination of complex executive meetings.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Strong written and verbal communication skills.
  • Demonstrate the ability to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Be collaborative and be comfortable working in a team environment.
