Job Description:
BASIC PURPOSE: Assistant to the Dean of Graduate and Professional Studies, Assists the Academic Affairs Support Team in coordinating the work of the academic departments, other duties and programs as assigned and initiatives in support of the mission of the University.
ACCOUNTABILITIES:
Administrative:
Coordinates the uploading of materials on the Administrative team site which includes:
- CV's, Course evaluations, Final exams, Syllabi, Teaching schedule
- Practicum and Prepracticum/MTEL database management for students/placements
- MEPID number coordination for students
- DESE Licensure record keeping and coordination
- Catalog maintenance
- Verify semester course offering
- Coordinate and manage student oral exams with Program Director, Registrar and student
Event Planning:
Assists with planning and implementations of various events for academic affairs. This includes:
- Making and confirming room reservations
- Arranging for speakers and making accommodations for them as necessary
- Providing for food service/catering
- Scheduling event on the Event/Master Calendar
- Setting up workshops
- Arranging and overseeing ticket sales
- Ensuring announcements are posted on portal
- Coordinates with the graphic designer and copy center for posters, flyers brochures, etc.
Finance:
Monitors department budget ensuring invoices and purchase orders are processed in a timely fashion:
- Monitors petty cash
- Submits travel expenses for payment
- Orders supplies
- Oversees budget and makes budget transfers as necessary
- Monitors and tracks payments for applied lessons
- Signs out and tracks loaner laptops, cameras, tripods and tablets
Department Operations:
Assists in the daily operations of the Academic Support Team Department:
- Sorts and distributes daily mail
- Processes and notifies University community of class cancellations
- Monitors and orders printer supplies
- Processes book orders
- Maintains strict confidentiality on many sensitive issues.
- Performs other related duties as assigned.
- Serves as a Campus Security Authority for Clery reporting purposes and a Responsible Employee for Title IX reporting purposes.
Requirements:
- Must be willing to contribute actively to the mission of the University.
- Demonstrated knowledge of Microsoft Office: Word, Excel and PowerPoint.
- 2-3 years previous office experience.
- Associate's or Bachelor's Degree
- COVID-19 Vaccination and Booster required.
