Overview

Reporting to the Director of Finance, assist the Finance team in directing the financial activities of our hotel and restaurant, safeguarding the assets, and preparing all financial reports in accordance with generally accepted accounting principles and HEI Hotels and Resorts Standards.

Responsibilites

  • Responsible for full cycle Accounts Payable.
  • Recording invoices for services rendered in an accurate and timely manner; ensuring all invoices have been reviewed, approved and coded.
  • Verify that purchasing procedures are followed, i.e.: purchase order price compared to invoice price, purchase order quantity compared to invoice quantity, ensure that the purchase order number is valid.
  • Route invoices with purchase order attached to department heads and Executive Committee members for approval. Ensure account coding is accurate and all invoices are being returned on a timely basis.
  • Pay all hotel invoices in a timely manner ensuring accuracy of amount paid, account coding, invoice extension and that all discounts are taken.
  • Balance accounts payable to the general ledger on a daily basis.
  • Process checks on a weekly basis.
  • Handle all vendor inquiries and reconcile all vendor statements.
  • Maintain critical vendor list to ensure timely payments.
  • Administration of W-9s and 1099s.
  • Maintain Certificates of Insurance file.
  • Follow month end closing schedule including the preparation of the month end AP reports.
  • Resolve and provide answers for all accounts payable related inquires.
  • Maintain professional level of service to both internal and external customers.
  • Assist with special projects and tasks as assigned.
  • Perform any other job related duties as assigned
  • Comply with attendance rules and be available to work on a regular basis.

Qualifications

  • Bachelor's Degree in Accounting preferred or equivalent hotel accounting experience.
  • Accounting and Hotel experience preferred.
  • Experience with Oracle Financials, Birchstreet preferred.
  • Proficient Microsoft Office and Excel.
  • Strong organizational skills with attention to detail.
  • Ability to work in a fast pace environment
  • Ability to compile facts and figures.
  • Ability to operate personal computer and calculator.
  • Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, public etc.
