Important note: This position is classified exempt; therefore, is available to any applicant who meets the minimum requirements and/or special requirements or areas of assignment.
Employee will be assigned to the Division of Air Quality, Compliance and Enforcement section in the northern central region located in Fairmont. Under general direction of the Compliance and Enforcement regional supervisor, provides clerical and administrative support to the regional supervisor, exercising discretion and independent judgment to promote efficient office operation. Duties are as follows:

  • Receive and screen telephone calls and refer callers to the appropriate staff member, office or agency.
  • Type general correspondence, forms, memorandums, and reports.
  • Proofread staff documents and reports for accuracy, grammatical correctness, use of proper letterhead and forms, and make recommendations accordingly.
  • Receive, screen and distribute incoming mail, and assist other division enforcement and clerical staff with outgoing mail.
  • Scan, file, index, and upload documents into agency databases and electronic documents management system.
  • Receive and document citizen complaints regarding alleged air pollution and forward information to appropriate staff members for investigation.
  • Monitor the DEP spill line daily for spills and/or complaints for the regional offices, and forward air pollution related information to the appropriate staff member for investigation. Update the spill line and related databases upon completion of investigations.
  • Generate and maintain staff monthly and annual administrative activity reports for the regional supervisor.
  • Prepare and process travel requests for supervisor and staff, including making travel arrangements, reservations and preparing travel reimbursement requests.
  • Must successfully complete initial and reoccurring Purchasing Card (P-Card) training and become a P-Card holder and user to purchase office supplies and equipment. code, reconcile and enter transactions appropriately each month into WVOASIS or other applicable software.
  • Will function as Kronos timekeeper for the Fairmont and Romney DAQ Compliance and Enforcement staff. Maintain spreadsheets for the regional supervisor to document and track staff leave.
  • Attend meetings and speak for supervisor in his absence as directed.
  • Provide assistance to and be given the authority to speak and act for regional DAQ supervisor in his role as Fairmont DAQ building coordinator for all building related duties.
  • Will perform other duties as required and/or assigned.
  • Must be able to communicate effectively both orally and in writing. Must be able to establish and effectively maintain working relationships.

Minimum Qualifications
Training: Graduation from a standard high school or the equivalent.

Experience: Four years of full-time or equivalent part-time paid experience performing clerical duties at the Office Assistant 2 level, including typing, which must have included screening and routing telephone calls and correspondence, and composing routine correspondence.
Substitution: College hours or related business school or vocational training may be substituted through an established formula for up to two years of the required experience.
