SUMMARY
This is a Full-time non-exempt position that operates as support to the BH Department SAP Team in a fast-paced work environment. Primary work hours will be 8:30AM-4:30PM with a ½ hour unpaid lunch, (37.5 hrs/week) unless otherwise agreed upon. Includes specific responsibilities for a full range of duties for the BHRS/AM programs. Position requires strong organization and communication skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as deemed necessary by management.
Clerical Duties:
Performs primary clerical duties for the BH Department. Provides back up to BH Receptionist by answering, screening and transferring calls and taking messages, along with the daily mail run. Overall duties include filing, typing, data management, copying, mailing, etc., ensuring information is grammatically and typographically correct and complete. Ability to prioritize work assignments; multi-task and meet deadlines. Ability to work as a team member with the BH Department staff to achieve organizational goals. Strict adherence to policies and practices of confidentiality in all work completed as it applies to both clients and agency personnel. Performance of all job duties in an effective manner that supports and contributes to a positive work environment. Capability to work with little supervision and exercise sound judgment in making decisions. May be assigned other duties, which can include support to other BH programs.
Student Assistance Program (SAP) Duties:
This position provides direct support to the SAP program and is responsible for annual data entry for the State SAP System. This includes collection and tally of weekly, monthly, and quarterly data for both behavioral health and drug and alcohol referrals. Maintains homebase reports by a weekly review of reports for each district and provides updates regarding errors, workflow, data sheets, number of assessments, and tracking of casemanagement referrals and assessment only data. Positions maintains spreadsheets and reviews data trackers submitted by staff for comparison to Homebase reports for accuracy. Position will also be responsible for meeting minutes related to SAP, BH Manual section edits, maintaining the Teams drives related to SAP and the documents they contain including updates to forms and resources. Assists in the collection, printing, and assembly of training and presentation materials and packets. This position will also assist with mailings specific to the SAP department including SAP contracts and organization of Emergency Behavioral Health (EBH) resources for each district and for specific events pertaining to school and SAP needs. This position also assists with regulatory compliance and organizing audit materials and structure of audit reporting system. This position is responsible for the scheduling of conference rooms for meetings and assessments pertinent to the SAP program. The Clerical Support reports to the BH Program Manager but may take direction from other professional BH Staff and/or the Executive Director.
Professional/Technical Expertise:
Adequate knowledge of standard office procedures, practices and conduct to maintain professional office equipment. Ability to type 40wpm and to operate various office equipment. Adequate knowledge of English grammar, spelling, punctuation, and proofreading techniques used in writing and editing standard. This position requires proficiency in Homebase, OnBase and Teams. Other duties as assigned by supervisor.

Education and/or Experience:
High school diploma or general education degree (GED) and one year of progressively complex clerical experience. The employee is required to possess computer skills such as Windows, Excel and Word, or comparable computer abilities. Human Services experience is a plus.
Language Skills:
Knowledge of business communications, punctuation, arithmetic, and spelling, modern office practices, and procedures, recordkeeping methods, and knowledge of BH departmental regulations.
Certificates, Registrations, Licenses:
Valid PA Driver?s License, Proof of Valid Auto Insurance, Act 34 (Criminal Record), and Act 33 (Child Abuse) and FBI Clearance. There will be monthly screenings of PA Medicheck List, LEIE (List of Excluded Individuals/Entities) and SAM (System for Award Management).

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, stand, walk, bend, and lift objects of up to 10 pounds. The employee regularly uses a computer, phone, fax, copier and other essential office equipment to carry out daily work assignments.
Work Environment:
While performing the duties of this job, the employee regularly works in an office environment and is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
