About The Position

The Research Portfolio Administrator I is responsible for providing institutional-level sponsored programs administration services including creating and maintaining relationships with researchers and program teams on behalf of the Office of Research Management (ORM) with supervisor oversight. Will be responsible for all the pre-award administrative functions in the central/western portfolios with a goal of providing the highest level of service to investigators.

Responsibilities

Management Responsibilities

  • With the aid of Human Resources and under the supervision of the Research Portfolio Manager (or Senior Research Portfolio Manager), is responsible for staffing, hiring, salary negotiations, and performance review processes for department staff
  • Conducts counseling and corrective action when necessary, up to and including termination, with aid from Human Resources and Research Portfolio Manager/Senior Research Portfolio Manager
  • With delegated authority, oversees general administrative needs such as timesheet approval, and distribution of forms for department staff
  • Manages all assigned staff to ensure optimal performance on each project or study
  • Ensures staff demonstrate basic understanding of their job duties and work responsibilities
  • Plans and facilitates individual and team meetings
  • Ensures all staff members comply with Foundation and site policies, procedures, and SOPs

Responsibilities

  • Review all budget expenditures and charge requests to ensure compliance with the approved budget, researcher and/or program team approval, Uniform Guidance, and verify that purchases do not require prior approval
  • Coordinate equipment & materials procurement, and travel for ORM program needs
  • Maintain a solid understanding of project progress and budget status to ensure researcher and program team is expending funds at an appropriate rate and in accordance with the projected forecast
  • Hold regular meetings with researchers and program teams to discuss progress on project, challenges, and questions on upcoming phases (no less than quarterly)
  • Track reporting deadlines and review technical reports for accuracy and compliance
  • Ensure accuracy of monthly budget reports and distribute to researcher and program teams for active projects
  • Provide support of study startup and closeout activities in collaboration with OAM
  • Ensure applicable award documentation (including approvals, amendments, modifications, etc.) as well as any communications with the sponsor or any other Federal or regulatory office (including prior approvals, change in scope, etc.) are provided to OAM for maintaining and updating project files
  • Monitor proposal status and advise researcher and program team on requirements and submission deadlines
  • In collaboration with Research Portfolio Manager, develop and regularly update portfolio revenue goals
  • Targets and qualifies potential researchers and collaborators; initiates contact with new researchers and collaborators as deemed appropriate to satisfy ORM growth goals
  • Work with Research Portfolio Manager to ensure department revenue goals are achieved
  • Conduct targeted funding searches for researchers and program teams
  • Oversee basic proposal submissions with oversight, such as subaward or non-federal applications
  • Serve as the primary point of contact for researchers and program teams to ensure successful completion of projects

Qualifications

  • Bachelor's Degree or equivalent work experience required (3+ years of relevant experience may be substituted for education requirement)
  • Minimum of three (3) years' grants, contracts, or clinical trials experience, with emphasis in language/contract term review and recommendation
  • Prior experience required working with and managing grant submissions at a high-volume organization
  • Prior experience required with electronic research systems such as CAYUSE, Grants.gov/Workspace, NSFFastlane/Research.gov, NIH Commons/ASSIST, etc.
  • Experience with DoD, CDMRP, and DHA funding opportunities preferred
  • Experience with the administration of awards from various federal and non-federal sponsors including grants, contracts, or clinical trials is preferred
  • Ability to work independently and proactively is required
  • Strong written and oral communication skills with a high level of customer service required
  • Advanced grammar skills and technical editing ability required
  • Computer skills including intermediate level experience with Excel and other Microsoft Office Software required
  • Experience with industry-sponsored awards preferred
  • Research or healthcare background, DoD processes and procedural knowledge preferred

Job Type: Full-time

Pay: $65,000.00 - $70,000.00 per year
