Receptionist - Riverside Branch Office Job at Inland Regional Center
SUMMARY: Under general supervision of the Executive Assistant, performs a wide variety of clerical support duties and perform in-person and telephone reception.
HOURLY RANGE:
- $16.4655 - $22.0653 per hour
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide in-person and telephone reception by promptly and courteously answer incoming calls for agency staff.
- Direct people or transfer calls to requested office or person in a professional manner.
- Check in appointments and notify staff/doctor that their appointment has arrived.
- Assist IRC drop-in staff with orientation to branch office facilities/equipment location.
- Process and distribute mail. Assemble certified mail accurately and on schedule. Sort and organize courier envelopes.
- Collate, fold, staple documents by hand or machine. Type labels when needed.
- Forward any cash or checks received to headquarters office and record receipt as appropriate.
- Daily use of office machines including copiers, facsimiles, postal and computer. Give people general directions on how to operate copiers. Assist Facilities in the maintenance of copiers. Act as key operator to resolve malfunctions. Replace toner, as necessary. Keep samples of poor-quality copies for service representative. Describe or demonstrate machine malfunctions to service representative.
- Shred sensitive material as assigned.
- Daily use of SANDIS/UFS.
- Serve as backup for other unit members
- Receive deliveries of supplies and equipment. Unpack and store material as required.
- Report maintenance or repair needs to Facilities via ResQ. Meet with the property manager, and/or subcontractors to provide access to the building and act as a liaison for Facilities.
- Drive vehicle/travel to other headquarters for unit meetings, to pick up/deliver documents. Organize travel efficiently and effectively.
- Prepare reports as needed or assigned on a timely basis.
- Keep supervisor informed of pending work, work in progress, and problems encountered.
- Maintain good attendance and punctuality.
- Update knowledge through readings, briefings, and training.
- Perform unit assignments on rotation basis or as assigned and perform different or additional work as needed or assigned.
MINIMUM POSITION REQUIREMENTS:
- High school diploma or equivalent.
- Twenty-four (24) months of general office and in-person reception work experience preferred.
- Knowledge of general office practices and procedures. Ability to file; ability to spell and punctuate correctly and make simple arithmetical computations; ability to operate office equipment.
- Ability to follow oral and written directions. Good verbal and written communication skills.
- Ability to type accurately (35 wpm).
- Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.
- Ability to establish and maintain effective working relationships with others. Ability to work cooperatively and effectively with others.
- Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation. Must have and maintain a safe driving record.
- Bilingual preferred.
