OVERVIEW OF GENERAL RESPONSIBILITIES AND DUTIES
Provides direct support to Agency Relations Department by answering phones, receiving faxes, filing, scheduling, performing data entry on spreadsheets, distributing correspondence, making daily mail drop or pickup at corporate office, greeting visitors, assisting callers and walk-in customers by providing referrals to potential pantry or meal sites. Position requires organizational skills, accuracy and attention to detail, financial accountability in receiving agency payments, providing receipt for transactions, following daily opening and closing reconciliation procedures, preparing funds daily for deposit. Employee is expected to display excellent customer service skills.
The employee in this position must be dependable, arriving for work on time each work day. The position requires a detail-oriented person constantly ensuring safety of food produces, food preparation, and sanitation of equipment, utensils, storage and food preparation areas.
  • Assist with receiving, sorting and distribution of program mailings and drop off or picking up mail at the corporate office.
  • Answering telephone, take messages and/or directs calling parties to the proper or requested party called. Making referrals of possible pantry or meal sites for callers.
  • Assist with scheduling agency appointments, data entry or preparation of documentation for all Food Bank Programs
  • Compiles information and prepares outgoing correspondence using word processing, spreadsheet, database, or other software.
  • Sort, read, analyze and distribute incoming correspondence, including faxes and determines significance and prioritizes. Prepares routine responses if requested.
  • Performs general administrative duties such as ordering supplies, copying and developing and implementing filing system. Organizes and maintains records.
  • Greet visitors and direct to appropriate department or persons and responses to inquiries regarding agency or program.
  • Participate in meetings and trainings as directed by supervisor. Attend workshops or conferences as needed to further develop professional knowledge.
  • Provides direct support to the Agency Relations Manager and performs related duties as assigned.
  • Performs all duties in accordance with current goals and objectives, agency policies and procedures and applicable laws and regulations.
QUALIFICATIONS
Education: Associate's Degree (two-year college or technical school) in Office Management, Office Technology or related field.
Experience: One to two years related office experience.
An equivalent combination of experience and education or training may be considered in lieu of a formal degree with experience.
Computer Skills
To perform this job successfully, an individual should have knowledge of Database software; Internet and Word Processing software. Employee should be sufficiently computer literate to learn specific. Proficiency in Power Point, Word Excel is highly desirable.

  • Ability to keyboard at least 60 words per minute accurately is desirable.
  • Employee must have a complete knowledge of office equipment and practices.
  • Individual must have good organizational skills, able to prioritize readily.
  • Employee must have excellent communication skills, able to relate well to a diverse population.
  • Individual must be able to pass a criminal records background check and substance abuse tests.
  • Individual must pass organization physical examination
CONDITIONS OF EMPLOYMENT
Background check with state and Federal law enforcement agency required. Selected applicants must submit to a pre-employment substance abuse screening test and receive a negative result for the use of drugs and alcohol as specified in agency policies. Must submit and receive negative results for random testing of same. The employee must have a valid North Carolina Driver's License. Must be able to pass a post-offer physical examination.
