Our network of 101 food pantries, 20 affordable housing sites, and 15 JCCs provide services directly in neighborhoods across New York.
Position Summary:
The Program Assistant & Compliance Specialist will work closely with the Disaster Case Management team to support their case work to ensure all client electronic records are entered and updated in line with the program daily activities and contract requirements. They will upload client documentation and assist with collecting required materials in support of direct service staff. They will assist the program manager and senior director in ensuring staff documentation, of direct case management services to clients, as well as staff recording of their work in electronic databases as required by the subcontract are compliant and follow required reporting time frames within contract agreement. The 9 month contract spans 10 affected counties with 6 subcontracts with provider agencies that will deliver disaster case management services to approximately 2,300 Ida flooding impacted households.
Please note: This is a temporary position, anticipated to end September 5, 2023, with possibility of extension.
Principal Responsibilities:

  • Ensure complete client information has been accurately and timely entered in the Disaster Case Management electronic databases.
  • Maintain internal and subcontract data entry, tracking Disaster Case Manager client work.
  • Ensure units of service and times of service are accurately entered and maintained utilizing daily notes from client calls to correctly document information in multiple agency databases.
  • Assist with documentation gathering and uploading with Disaster Case Managers to facilitate accurate and efficient uploading of client documentation, including financial information.
  • Make reminder calls to clients regarding appointments with Disaster Case Manager team members.
  • Assist with accurate Disaster Case Management reports, including programmatic and staff data and daily reports.
  • Additional responsibilities as required and necessary.

Skill and Education:

  • High school diploma (required).
  • Human Services Associates degree with social service experience (preferred).
  • Excellent customer service and communication skills.
  • Clerical/administrative work experience (preferred).
  • Bi-lingual skills a plus.

Physical Demands:

  • Required Constantly: Walking, sitting, grasping, bending, stooping, squatting, computer input, finger dexterity and coordination of hand, eye and foot.
  • Required Frequently: Standing and climbing stairs; carrying laptop & files (approx. 8-10 lbs).
  • Required Occasionally: Reaching above the shoulder, and lifting 5-25 pounds, pushing and pulling.

Compensation: $20.50 - $23.07 per hour
