Duration: 6+ Months

Location: Faculty Practice - School Of Dentistry, Cleveland, OH 44106

Pay-Rate: $16.65/Hr. On W2

Client: Case Western Reserve University

Position Objective:

Working under general direction, the Patient Care Coordinator (PCC) will work with faculty practice doctors to coordinate all aspects of the practice’s patient care operations. This position is primarily responsible for scheduling, treatment plan input, record-keeping, patient recall, insurance/patient billing and payment collection.

Essential Functions:

Process and maintain filing system for patient charts. Input patient treatment plan into the Faculty Practice patient computer system, and prepare new patient charts. Responsible for knowing the whereabouts of a patient’s chart at all times. Ensure availability of patient charts in advance of their appointments, including pulling charts and follow-up with dental labs to ensure lab cases have been returned. Responsible for quality assurance of all patient records. (30%)

Coordinate and perform clerical functions for faculty practice doctors related to patient appointments. Print daily schedules. Work with faculty practice supervisor to assign new patents to specific doctors within the practice. Meet regularly with supervisor and director to ensure the efficiency of the patient care/service being provided. Receive appointment cancellation calls and attempt to fill vacant time slot with another patient. Confirm after hours appointments. Meet with patients after their visits to schedule next appointment. Assist in coordinating patient appointments with any of the specialty clinics within the Dental School. (20%)

Collect and apply patient payments to the correct account. Issue a receipt of payment. Balance and complete deposit slip for clinic manager’s audit. Deliver deposit and credit card transactions to the Cashiers office daily. Submit copies of deposit slips and journal to the Dental Finance Office for audit and GL entry. Assist supervisor with monthly statement processing. (15%)

Provide exemplary customer service at all times. Serve as the patient advocate for all patients within the practice. Respond to all patient, physician, and staff inquiries in a prompt and professional manner. Frequently check and respond to voicemails in a timely manner. (10%)

Enter and/or verify that proper patient insurance information is on file at each visit. Serve as a resource for patients and faculty on following proper clinical protocol procedures and completion and submission of all necessary paperwork. Submit request for pre-determination of services to insurance companies for approval. (10%)

Assist supervisor, dental assistants and hygienists with non-clinical and minimal clinical issues, including calling in patient prescriptions and patient recalls. (10%)

Nonnessential Functions:

  • Perform other duties as assigned by the supervisor or Faculty Practice director. (5%)

Contacts:

  • Department: Daily contact with faculty and staff to maintain workflow and serve as role model of customer service within the practice.
  • University: Limited or no contact expected.
  • External: Daily contact with patients and labs to maintain workflow and ensure smooth daily operations.
  • Students: Limited or no contact expected.

Supervisory Responsibility:

  • This position has no direct supervision of staff employees.

Qualifications:

  • Experience: 2 to 3 years work experience. Should have practical hands-on experience in either a dental office or dental educational facility. Experience in patient scheduling and completion of insurance forms.
  • Education/Licensing: High school diploma required.

Required Skills:

Ability to deal with diverse groups of patients, students, and faculty. Ability to effectively interact with colleagues, supervisor and customers face to face.

Knowledge of third party reimbursement procedures, working knowledge of dental terminology preferred.

Experience with Excel and database applications. Should possess above average computer skills in the areas of spreadsheet and database applications.

Ability to meet consistent attendance.

Working Conditions:

The incumbent will work within the clinic area. Work involves the use of and/or potential exposure to chemicals, and human blood and tissue. The incumbent will need to follow Clinical OSHA procedures.

Job Type: Contract

Pay: $16.65 per hour

Schedule:

  • 8 hour shift
  • Monday to Friday
