Part-time Secretary Job at St. Mary Catholic Church and School
We are looking for a part-time, afternoon secretary for our parish office. The position requires a high level of Microsoft Office products including Word, Excel, Publisher, PowerPoint and Outlook. They must be able to organize and prioritize work, take initiative and have good communication skills. The hours are Monday-Friday, 12p-4p. There will be 2 part-time secretary's so flexibility is available between the 2 positions if time needs taken off or a morning shift is needed.
We also will eventually want a Sunday 8a-12p shift covered. This can also be alternated between the 2 secretary's. When covering the Sunday, a day can be taken off during the week.
Compensation will be based on experience.
As a Secretary you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist the Business Office Manager, Director of Religious Education and our Father by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce.
Responsibilities
- Answer phone calls and redirect them when necessary
- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
- Prepare and disseminate correspondence, memos and forms
- File and update contact information of employees, customers, suppliers and external partners
- Support and facilitate the completion of regular reports
- Develop and maintain a filing system
- Check frequently the levels of office supplies and place appropriate orders
- Document expenses and hand in reports
- Undertake occasional receptionist duties
Skills
- Proven work experience as a secretary or administrative assistant
- Familiarity with office organization and optimization techniques
- High degree of multi-tasking and time management capability
- Excellent written and verbal communication skills
- Integrity and professionalism
- Proficiency in MS Office
- High school diploma
