Summary

The Railroad and Heritage Museum seeks a Museum Development Assistant to perform fundraising activities, and assists the museum team in gift shop operations, special events, and museum activities.

Essential Duties & Responsibilities
  • Assists with the planning, budgeting, and coordinating fundraising activities to achieve museum revenue
  • Maintains fundraising database, reconciles donations, and prepares reports
  • Processes incoming/outgoing money including ticket sales, facility rental, donations, in-kind gifts and vendor invoices
  • Supports the membership program to increase sales, member engagement, coordinates new member drive and appreciation event
  • Communicates with existing members about renewals and responds to member requests
  • Generates acknowledgement letters to donors
  • Performs a variety of office duties, including answering phones, welcoming visitors, maintaining office files and records
  • Serves as a back-up for operating gift shop, activities may include pricing merchandise, restocking shelves, creating displays
  • Helps curator to set up, change exhibits and assists with processing collections including registering, accessioning, cataloging, packing, unpacking, and maintaining inventory
  • Works on team for event planning process, activities may include identifying vendors, review of plans, coordinating activities and managing set-up/tear down processes
  • Assists in education related functions such as tour groups, Family Day preparation, off-site train ride events, and craft/activity review and creation
  • Works at monthly Family Day events on 1st Saturdays
  • Compiles and coordinates information to be sent for marketing and communications publications
  • Participates in community outreach programs that promotes the Museums as an event space
  • Manages event related questions from vendors, patrons, and fellow employees
  • Multi-tasks between the various office duties and meets established deadlines
  • Follows the city policies, procedures and safety guidelines
  • Performs other duties as assigned
Minimum Qualifications
  • High School diploma or equivalent
  • One year of professional experience in a museum development office or related area
Preferred Qualifications
  • Bachelor’s degree in a related area
  • Experience in special events in a fundraising capacity
  • Bilingual in English & Spanish
