RESPONSIBLE TO: Medical Services Projects Director
PAY RANGE: $21.20 - 23.26/ hour

The Objective: The Medical Services Administrative & Projects Coordinator assists team members in managing the myriad administrative tasks and projects to support the efficient operation of the Medical Services Department.

You’ll be successful when project managers are supported with logistics, and administrative tasks are completed in an efficient, timely, and effective manner

Snapshot:
Most days will be spent in front of a computer managing documents, reading, sending, and responding to emails, administrating SharePoint, and participating in virtual meetings. Days at our administrative office may also include processing physical mail and obtaining signatures for applications.

You are tech-savvy and have great interpersonal and written communication skills. You have an eye for detail and can work diligently to meet deadlines with an ability to prioritize multiple tasks. You enjoy providing excellent customer service, are highly organized, able to multitask, and can create systems to organize large amounts of information and documents. You strive to do all you do with integrity. You are able to work flexible hours, including evenings and weekends if needed.

You represent the Medical Services Department to PPRM health center staff, PPRM patients, and other PPRM teams and do so in a manner that exemplifies our collective values.

Primary Areas of Responsibility/Essential Functions:
Project Coordination: As part of your role, you will coordinate various projects and initiatives with the support and guidance of various Project Managers. Among your responsibilities, you will manage the administrative logistics of various projects. You will maintain consistent communication with multiple stakeholders regarding task and project deadlines. You will participate in managing change for our patient care staff, including sending and managing meeting invites, compiling important dates and activities, and sending weekly Medical Services Communication emails. You will improve department workflow and efficiency by identifying priorities and developing and implementing effective office systems and procedures.
Administrative Assistance: You provide essential administrative support to the Medical Services Department, helping to ensure the team’s workflow, and efficiency and organization support team members in meeting their goals. Among your responsibilities, you will support virtual and some in-person meetings and events. You will ensure all health center clinical license renewals are completed in a timely manner and copies of licenses are stored appropriately, and that CLIA and OSHA training documentation is compiled and filed appropriately. In adherence to pharmacy requirements, you will update and submit protocols for health centers and notify the Board of Pharmacy of changes. You will support updates to department policy, procedure, and guidance documentation as well as patient education documents, assisting with formatting and finalizing documents per set standards, facilitating translations as indicated, and ensuring version control is maintained and tracked across systems. You will fulfill the Administrator role for the Medical Services Hub within the PPRM SharePoint. You will provide backup support to other administrative functions within the Medical Services Department.

COVID-19 Vaccine & Booster:
PPRM requires that all employees are fully vaccinated and boosted as a condition of employment. An employee is considered fully vaccinated two weeks after receiving the second dose of a two-dose vaccine (Pfizer or Moderna) or one dose of a single- dose vaccination (Johnson and Johnson/Janssen). The COVID-19 vaccine booster shot is required by the first day of employment, or five months after receiving the final dose of the original vaccine series, whichever is later. Proof must be uploaded upon starting. You will upload a picture or pdf of your vaccination card(s) on your first day of orientation.

Flu Protocol:
All employees working directly with patients or working in a health center will be required to have the flu shot or wear a mask during patient contact or while in the health center from October 1 – April 30 each year (Flu Season). The flu shot will be available to health center employees in the health center in addition to being able to seek the flu vaccine externally through the medical plan or reimbursement.
