Open Door is seeking a full-time Medical Records Technician for its Family Medical Centers based in Ossining, NY. The Medical Records Technician will be responsible for ensuring patient confidentiality is maintained in accordance to HIPAA regulations.


Responsibilities


  • On a daily basis, reviews the fax inbox in eClincialWorks and determines whether documents need to be attached to an order, forwarded to a Provider/staff member.
  • Faxes appropriate documents to outside facilities as required by Provider/staff.
  • Answers incoming calls and messages for department and processes requests.
  • Requests labs, mammograms, and X-ray reports from other medical facilities, as needed.
  • Collects payments from Attorneys for copies of medical records and submits to Practice Coordinator for deposit.
  • Responds to subpoenas and makes copies of patient records and forwards to respective agencies such CPS, Attorneys, Social Security, and District Attorney’s office.
  • Responds to patient requests for copies of medical record and ensures a release form is present and signed by patient.
  • Scans labs and X-rays into proper folder in eClinicalWorks and assigns to Provider for review.
  • Requests paper charts for audits, shredding and purging as needed.
  • Cooperates with all departments of the health center in the matter of patient records.
  • Monitors after hours messages to ensure they all have telephone encounters created in patients charts. Will generate telephone encounters and assigns to appropriate provider or staff when applicable.
  • Performs other duties as assigned.


Requirements

  • High School diploma or equivalent required.
  • Time management and organizational skills are required.
  • Two years’ experience in ambulatory health is essential, graduate of an accredited program in medical record administration preferred or demonstration of appropriate training and coursework.
  • eClinicalWorks experience preferred or knowledge of other electronic medical record system.
  • Knowledge of all aspects of the Medical Records Department and insures compliance with the organizations policies and procedures.
  • Proficient in Microsoft Office Suite, especially Excel and Outlook; and internet-based applications.
  • Responsive and comfortable working in a fast-paced environment.
  • Ability to work well with both external and internal customers, exhibiting empathy and excellent communications skills in the written and verbal exchanges.
