POSITION: Full-Time Medical Operations Administrative Assistant

LOCATION: Corporate Office in Franklin, TN

HOURS: Monday through Friday, 40 hours

ESSENTIAL FUNCTIONS:

Maintains confidence and protects operations by keeping information confidential. Must have discretion, and experience handling sensitive information while maintaining a high level of confidentiality.

  • Acts as project manager with assignments within the corporate office from assigned Executives
  • Strategically thinks about ways the company is operating and ways to operate more efficiently
  • Provides administrative support to executives ranging from extensive calendaring, meeting schedules, expense reporting, composing, and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Organizes and supports strategic plan meetings, teleconferences, off sites, and other events. assist with internal and external meeting preparations (i.e., draft agendas, PowerPoints, catering, minutes)
  • Prepares scorecards by collecting and analyzing information
  • Compiles data from client surveys and shares results. Follow up on resulting action plans
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics, as requested
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications, as requested
  • Plans appointments and events as dictated by role or as needed
  • Acts as the point of contact between executives and employees/clients as needed
  • Facilitates internal communication (e.g., distribute information and schedule)
  • Provides administrative support to leadership as needed in preparation for presenting information to the clients during yearly visits, to include gathering materials for upcoming meetings and creating client and internal presentations.
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, takes ownership, and follows-through on projects to successful completion, often with deadline pressures
  • Organizes annual holiday boxes and cards with Vice Chair of the Board
  • Completes dictation of quarterly coaching completed by President/CEO and shares information with Chief of Staff for follow-up and processing.
  • Any and all other duties as assigned

TRAVEL:

This position rarely requires travel.

REQUIRED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in field applying for or the equivalent experience
  • 5+ years of related experience
  • Strong Microsoft Office, Internet, and email skills
  • Great attention to detail
  • Ability to work independently with initiative
  • Highly organized
  • Must be able to drive a motor vehicle
  • Basic Life Support (BLS) certification; hands-on training
