The City of Santa Monica is seeking a creative and collaborative as-needed team member, up to ten or so hours a week, to drive and implement the marketing and communications efforts of the Annenberg Community Beach House, a premier site with a reach that extends from around the corner to around the globe. The marketing and communications assistant works closely with the Beach House manager to shine a light on all the site has to offer, including the core areas of public and cultural programs, event services, interpretive services, recreation, and open space.

The desired team member will be able to:
  • Work independently while having a collaborative mind set.
  • Develop and implement marketing strategies including for print, web, email communications, and social media.
  • Be up to date and utilize best practices in social media and communication tools.
  • Gain a deep understanding of the Beach House brand to create a wide range of materials to effectively market the Beach House and its amenities.
  • Be a willing contributor to a positive and productive atmosphere.
  • Be skilled in communicating with warmth, respect, and professionalism while speaking with others and in writing.

Job Summary: Supports comprehensive city-wide integrated internal and external marketing and public information programs designed to ensure communication of City priorities and promote key organizational services and programs to increase public awareness. Assists in providing comprehensive project management and administrative support and is closely involved in the daily oversight, implementation, and tracking of various marketing and communications programs.


REPRESENTATIVE DUTIES:



Assists in a variety of marketing and public information projects, including scheduling and coordination of workflow and meetings, distribution of ongoing communication to broad stakeholder groups, documentation of project-based work, integration of city-wide communication tools, visuals and templates, and tracking ongoing effectiveness.

Completes tasks related to a variety of public information digital and grassroots marketing and communications programs including drafting, production and distribution of marketing materials, establishing strong community relationships, identifying and communicating with key contacts.

Tracks program performance through collection of data on rates of participation, effectiveness of marketing and outreach activities, and other measurable impacts. Assists in the preparation of reports regarding outcomes on a regular basis.

Researches administrative problems, conducts studies and surveys, and recommends courses of action to solve problems and improve delivery of services.

Monitors and maintains accurate information on City's website and relevant marketing channels. Tracks and reports ongoing website results. Maintains communication with partner agencies to ensure proper representation of City program marketing on external websites.

Communicates effectively with marketing vendors, internal partners and community members via e-mail, phone, social media, and in person.

Administers the division's accounts payable function. Uses financial software to track and issue purchase orders, invoices warrants, and requisitions.

Prepares content for blogs, social media, and publications describing past events/activities, profiling programs/participants, and highlighting upcoming opportunities.

Composes, types, and proofreads a variety of complex material.

Ensures accuracy of materials and maintains deadlines.

Organizes and maintains marketing and communication assets including guidelines, logos, contact databases and photo libraries.

Provides general office support and administrative assistance duties including, but not limited to, maintaining marketing contacts, copying, mailing, filing, stocking supplies, setting up meetings, answering phones and e-mails.

Assists with creating and distributing press releases.

Performs other related duties, as assigned.



REQUIREMENTS:


Knowledge, Abilities and Skills:

Knowledge of:

Modern office procedures, practices and equipment.
Business English, spelling, punctuation and grammar.
Purposes, methods and practices of technical and financial recordkeeping.
Recordkeeping principles and procedures.

Marketing methods, tools and processes including brand guidelines and identities, grassroots and/or digital tactics.

Working effectively with persons from diverse social, cultural and economic backgrounds.

Education, Training, and Experience:

Graduation from high school or equivalent.

Two years of recent, paid work experience in marketing or program support duties. An Associate's degree (or 60 semester units at an accredited college or university) may substitute for one year of the required experience.

Working Conditions :

Work is generally performed indoors in a busy office environment. Office work may require sitting for prolonged periods of time and using a computer keyboard and screen. Outdoor and offsite work may be assigned and some evenings, weekends and/or holidays may be required. Physical demands include light to moderate lifting, walking, bending, kneeling and standing. Must be able to transport and set-up materials and tables in both indoor and outdoor settings.
