This position will handles administrative tasks and projects relating to the office of the HCI Senior Director of Community, Outreach and Engagement, who is also involved in research grants and a member of HCI’s Research Executive Committee. Candidate must be able to manage multiple competing interests and priorities with strict discretion and finesse. Strong verbal and written communication skills are quintessential to internal stakeholders and the community at large. In addition, strong self-motivation, task prioritization, superb organizational skills, and a solution-oriented approach with a positive attitude are vital assets for this position.

Responsibilities
  • Handle the administrative matters regarding day-to-day operations and procedures of a Senior Director’s office including but not limited to, serving as a liaison between institute faculty and staff, and external programs and colleagues.
  • Provide organizational and tracking support to strategic planning and implementation activities. Prior experience and use of Microsoft Suite is preferred.
  • Provide administrative support to the Cancer Center Support Grant (CCSG) activites and relevant Shared Resources as needed. This may include scheduling regular meetings, maintaining files, organizing travel for external program guests/speakers, and more.
  • Plan, organize, and execute initiatives, events, conferences, and symposia under a Senior Director’s oversight. Preferred candidates will have prior event/conference planning experience
  • Provide grant management support, including working knowledge of pre-award budget and proposal development and post-award oversight. Prior federal grant management experience is highly preferred.
  • Assist with the development of reports, letters of support, and other written material.
  • Collect financial and other information as needed from Institute faculty and staff in order to support the efforts of the Senior Director.
  • Manage Senior Director’s calendar and assist with email maintenance.
  • Coordinate travel for Senior Director and lab members.
  • Maintain excellent records of meetings, memberships, biosketches, mentorship teams, and all other documentation for the Director.
  • Assist with and coordinate special projects, including the hiring of lab staff, postdocs, and faculty recruitment efforts.
  • Assist with the editing and publication submission process.
  • Financial review and approval of lab purchases using the University of Utah’s procurement system, UShop.
  • Other administrative duties as assigned.

Opportunities for professional growth within this position will be determined by the successful candidate, their supervisor, and the Senior Director, at the Senior Director’s discretion.

Minimum Qualifications
Bachelor’s degree in a related area or equivalency (2 years related work experience may be substituted for 1 year of education). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required.

Master’s degree in a related area may be preferred.
