PMHFOS is currently seeking dedicated candidates for a Management Support and Office Operations Coordinator position in the Warrendale area. This is a full-time position under the direct supervision of the Vice President of Human Resources. The Management Support and Office Operations Coordinator is responsible for ensuring corporate office security and managing office operations.
DUTIES AND RESPONSIBILITIES MANAGEMENT SUPPORT AND OFFICE OPERATIONS COORDINATOR:
- Direct support to the Chief Operating Officer and Chief of Staff
- Calendar management
- Manage corporate office front door and screening process
- Responsible for mail; sorting, scanning, and distribution
- Maintain kitchen supplies and stock as needed
- Manage all office supplies for office and employees, including office printer needs and all cleaning supplies
- Manage Board Room schedule and prepare for all meetings, which can include food and beverage coordination
- Personal Protective Equipment management; weekly packing and distribution
- Responsible for coffee and lunch coordination
- Responsible for common areas trash removal
- Responsible for coordinating external cleaning vendors for corporate office and residential locations, as needed
- Responsible for printing, scanning, and shredding documents
- Responsible for completing credit card reconciliations
- Responsible for managing voice mailboxes
- Provide vehicle support such as scheduling, maintenance, servicing, etc.
- Other duties as assigned
REQUIRED SKILLS AND KNOWLEDGE OF THE MANAGEMENT SUPPORT AND OFFICE OPERATIONS COORDINATOR:
- Minimum of 18 years of age
- High School Diploma Required, College Degree Preferred
- Knowledge of computers and Microsoft Office: Word, Excel, Outlook
- Security Guard Training Certification
- Good interpersonal/communications skills
