Leasing Agents are responsible for showing and renting apartments, collecting and depositing rents and resolving resident issues. They are responsible for adhering to and enforcing company policy & procedures and consistently acting in the best of Carla Properties, Ltd. The Leasing Agent's specific duties may vary from site to site, depending on the property's requirements and the size of the staff and are assigned by the Resident Manager. Normally, these duties involve the following:
Customer Service / Leasing Activities
- Provides information about the property and the community to prospective residents
- Engages in rental activities to include creating and explaining rental agreements
- Greets visitors to the community and answers their questions
- Explains rental policies to prospective residents
- Oversees workflow such as applications, rental agreements and move-in packets
- Handles resident service requests and coordinates with maintenance personnel to take care of all requests
- Maintains current information on all aspects of a property including size, special features, expiration of current rental agreements and pricing
- Answers questions on zoning issues, school districts, expansion plans and area crime rates for prospective residents
- Helps apartment complexes achieve and maintain high occupancy rates
- Delivers keys to the tenant upon move in
- Collects any money that is due up front from an approved tenant prior to move in
- Collects rent and other required payments each month
Administrative Responsibilities
- Maintains the office, answers phones and performs data entry
- Completes weekly, monthly, quarterly and annual reports as requested
- Processes move in/ move out paperwork
- Posts and processes notices
- Compiles additional information as requested by Resident Manager
Property Appearance and Maintenance As requested
- Conducts inspections
- Ensures all necessary maintenance is completed to make apartments "rent ready"
- Responsible for the appearance of all aspects of the property including: office, clubhouse, and models; fitness center, pool areas, laundry rooms, restrooms, picnic areas, tennis courts, and any other amenities; common areas the building exteriors, entryways, walkways, doors, and railings on property and property lighting
- Completes any special property projects assigned by the Resident Manager
Resident Relations
- Interacts with residents in a professional, yet friendly manner
- Complies with local, state and federal Fair Housing Laws
Staffing (as requested)
- Assists in interviewing and hiring recommendations of staff as requested
- Trains, supervises, leads and motivates staff as requested
- Notifies the Resident Manager if counseling or disciplinary action is necessary for any staff
- Supports daily workflow priorities and assign duties to staff as necessary
- Supports an on-call emergency schedule for evenings, weekends, and holiday coverage
Budget Management (as requested)
- Be aware of the vendor list, preferred products, etc. and work within guidelines when submitting purchase orders
- Reviews orders prior to purchase and ensure preapproval from Property Manager
- Be responsible for stock control and re-ordering monthly or as needed
Safety
- Adhere to Carla Properties safety program
- Hold quarterly safety meetings
- Conduct quarterly safety inspections of property
