Responsibilities:

The HR Onboarding Specialist, under the direction of the Sr. HR Manager, is responsible for providing general support to the HR Department and PAGNY providers. This position provides comprehensive coordination and a single point of contact of onboarding to bring on new providers into PAGNY and creates a positive onboarding experience. In collaboration with internal stakeholders, the Onboarding Specialist’s responsibilities include onboarding of new hires through effective communication with recruiting specialists and hiring managers, consistent logging and tracking of applicable human resources forms, and consistent updating of employee records in HRIS and other systems. In some cases, the Onboarding Specialist will refer to the correct subject matter expert in Corporate Human Resources.
  • Tracks and onboards all new hires ensuring all paperwork is filled out by employees in a timely manner. Coordinates and completes all internal onboarding processes and ensures all pre-hire processes such as physicals, credentialing, orientations, and trainings are completed in a timely manner to expedite the hiring process.
  • Creates, maintains, follows up and tracks all providers in the pipeline from offer letter to 90 day check in.
  • Single point of contact for all new physician onboarding steps; ability to track and manage multiple new providers' progress through the onboarding process
  • Collaborates with hiring managers and other key stakeholders to successfully plan and monitor onboarding activities including, but not limited to completion of onboarding tasks, itinerary development for their starts, and "check-ins" post hire
  • Builds relationships by communicating regularly with new physician prior to hire, including sending welcome emails and other communications to keep the candidate informed about credentialing progress, onboarding progression, and plans for their start. Ensure that all administrative and logistical issues have been addressed prior to start date, including but not limited to employee ID and access, computer access and training, online safety training, white coat, employee health, and development of an itinerary for their start
  • Builds and maintains successful relationships with site leadership, HR, medical staff services, Chiefs/Chairs and other stakeholders involved in the recruitment and onboarding process
  • Liaison between Medical Staff Services Department (MSS)/Practice Management/Site Human Resources and any other critical departments to ensure the onboarding process is smooth and seamless
  • May assist the Employee/Labor Relations Manager, Site HR generalists, or HRIS team in completing special projects or assignments.
  • May perform other duties, as assigned.

Qualifications:

  • Bachelor’s degree required. Prefer HR Certification
  • Minimum 1-3 years of experience in a similar role, preferably in a healthcare setting.
  • Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
  • High attention to detail. Ability to maintain high standards despite pressing deadlines.
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
  • Must be able to prioritize a variety of time sensitive tasks. Consistently display the highest degree of integrity, professionalism, diplomacy and discretion.
  • Maintain the highest level of confidentiality.
  • Excellent interpersonal and communication skills.
