Job Description

Activities
  • Properly greeting and handling visitors, including coordination with security desk personnel, and being a face of the Company while following established procedures with regard to both expected and unexpected arrivals
  • Answer phones in a friendly, timely, and professional manner, taking and transferring messages with accuracy and appropriately handling or referring questions or requests quickly and efficiently.
  • Implement established security policies and procedures with regard to contractors, visitors, delivery persons, employees, etc., and administer temporary visitor and vendor badges
  • Escort vendors (office supply, repair services, kitchen delivery, plant maintenance, etc.) to the proper area.
  • Collect and promptly distribute incoming mail and parcels, and prepare, ship, and track outgoing mail and parcels timely
  • Validate parking tickets.
  • Manage conference room activities. This includes being aware of daily conference room reservations, attendees in the rooms, food and beverage orders, etc.
  • Responsible for the condition of the reception and lobby area and coordinate with Trade Floor Admins and Day Porter to maintain office space, including all common areas, ensuring they are kept tidy and supply is stocked at the opening of the day and throughout.
  • Consolidate office and kitchen supply requests with Trade Floor Admins for ordering with approval from Office Manager.
  • Identify and liaise with Trade Floor Admins and Office Manager any needed upgrades, repairs, or required maintenance.
  • Assist Trade Floor Admins with presentations, client events, and other forms of administrative support as needed.
  • Provide facilities assistance to the Office Manager by communicating requests to the appropriate support contact, such as building maintenance, mail room, and external vendors.
  • Ad hoc special projects as assigned by Office Manager or Director – HR & Communications.
Accountabilities
  • Efficient organization of main reception area needs.
  • Responsible for providing a warm, welcoming and professional atmosphere for clients, executives and staff members.
  • Customer satisfaction with regards to their expectation for efficient and timely assistance.
  • Ensuring the reception desk is not left unattended to prevent security risk.

  • As the first point of contact for multiple internal and external visitors, and calls, the opportunity to set an excellent representation of the company.

Candidate profile

Qualifications/Experience required
  • High school diploma or an equivalent GED required. Associate’s Degree or relevant undergraduate classes preferred.
  • Two to three years’ experience in a client services/reception position within a hospitality or corporate environment
  • Ability to work under pressure in an organized manner, prioritizing tasks while constantly interacting with visitors and staff
  • Proficiency in office software products, including Microsoft Word, Excel, Visio and PowerPoint.
  • Excellent oral and written communication skills.
  • Ability to work independently and to take initiatives.
  • Customer-service oriented mindset required
  • Punctual, dependable and detail oriented.
