PURPOSE

Works on various routine and on demand projects, as well as performing clerical functions for the Finance department. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization. ESSENTIAL FUNCTIONS

  • Provides administrative support to the Finance department.
  • Maintains calendars and schedules meetings for the Finance leadership team, including conference room scheduling.
  • Retrieves, opens, date stamps, sorts, and distributes incoming mail.
  • Retrieves, sorts, and distributes faxes and reports.
  • Ensures operation of office equipment, such as copiers printers and faxes, by completing preventative maintenance requirements and calling for repairs; ensures adequate levels of paper, toner/ink, etc.
  • Maintains supplies inventory for entire suite by checking stock to determine inventory levels, anticipating needed supplies, placing orders and verifying receipts; ensures supply cabinet/room is kept clean and well-organized.
  • Performs data entry into spreadsheets and/or database, verifying for reasonableness.
  • Collaborates with department leadership to maintain various organizational, coding and other resource tools along with timely communication of changes to internal and external users.
  • Produces internal and/or external correspondence using word processing software.
  • Maintains Finance department’s physical hard copy files in an organized manner, which includes labeling and filing in appropriate folders and/or binders.
  • Audits weekly AP checks.
  • Ensures all current W-9’s have been obtained for all vendors for 1099 generation purposes.
  • Supports external financial and sales tax audit.
  • Records retention management in accordance with company policy.
  • Provides support cross-functionally as required.
  • Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
  • Regular and dependable attendance.

QUALIFICATIONS

Education and Experience

Required: High school diploma or GED. Minimum of two (2) years of accounting or bookkeeping experience.

Preferred: Bachelors degree or some college coursework .

Knowledge, Skills and Abilities

  • Knowledge of or ability to learn how to operate business office equipment, such as copier, printers and fax machines.
  • Intermediate Microsoft Word working skills.
  • Working knowledge of Microsoft Excel.
  • Knowledge of running queries against databases.
  • Ability to file documents.
  • Ability to alphabetize documents.
  • Must be able to carry 20 pounds and lift 5 pounds overhead.
  • Strong computer and keyboarding skills, including familiarity with Windows.
  • Excellent customer service skills.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal & problem solving skills.
  • Ability to work in a team environment.
