Facilities Supervisor Job at Los Angeles Police Federal Credit Union
The Facilities Supervisor is a strategic thinker with a roll-up-your-sleeves attitude to get things done. They will partner with internal and external stakeholders, with their primary focus to support the AVP, Security & Facilities Officer and manage day-to-day Facilities and Security-related activities. This includes, but is not limited to, collaboration and coordination with architects, furniture dealers, general contractors, sub-contractors, security providers, and other vendors. The Facilities Supervisor manages the Capital and Expense Budget, vendor procurement, internal staff engagement, with oversight of Facilities staff.

Essential Duties: A successful Facilities Supervisor must spend over 50% of work time on, and satisfactorily perform, these general categories of duties, which require significant discretion and independent judgment.
- Assist with development of department budgets, policies, and procedures. Manage ROM move budgets, contingency planning and expenses.
- Manage multiple projects of varying sizes, including budgeted and unbudgeted.
- Coach internal team to build skills, overcome obstacles, build strong project management systems, and develop innovative approaches to problem solving.
- Collaborate, meet, and coordinate with external project partners, such as Building Management Teams, City Officials, Architects, General Contractors , Subcontractors, Physical Security providers, and additional vendors and consultants.
- Procure and manage new vendors to provide products and services.
- Participate in the selection of vendors and contractors.
- Participate in defining SOW, other required procurement documentation, and terms of contract agreements.
- Monitor the performance of contractors to ensure work is completed satisfactorily and in compliance with applicable specifications and contracts.
- Collaborate with internal divisions to ensure expectations and deadlines are clear and being met.
- Communicate with the project team to convey the exact scope of work to be completed, outline work plans, and assign duties and responsibilities.
- Oversee the overall master schedule and timeline of all facilities projects.
- Manage project timeline of deliverables required for each project, which includes creating long and short-term plans, setting target dates for milestones, properly allocating resources, and adhering to project deadlines.
Additional Duties: Less than half the working time is spent on related, non-essential functions, including:
- Develop and manage framework to create reports and monitor project timelines. Ensure project and department data is accurately managed and stored. Oversee of company-wide records retention function.
- Oversee courier and mail service functions.
- Manage portfolio of assets. Maintain programs to extend asset life, improve cleanliness, and reduce costs and downtime. Support asset depreciation cycles and repair vs. replacement decisions.
- Support the needs of the Facilities and IT Teams and other internal customers.
- Ability to work flexible hours, including occasional weekends and after normal business hours.
- Occasional travel to existing local or proposed LAPFCU sites in Southern California.
Experience:
5 years of experience in Project Management and Administrative or Facilities operations, with progressive responsibilities; or, equivalent combination of education and experience.
Education:
A Bachelor’s degree is preferred, but relevant experience will be considered in lieu of education.

Other Skills:
- Ability to read and mark-up architectural construction drawings and floor plans.
- Knowledge of facilities’ lease and contract management, best practices, and how space impacts employee engagement.
- Experience with or knowledge of MEP (mechanical, electrical and plumbing), Physical Security systems, and FF & E procurement, installation and management processes.
- Experience using MS Project a plus.
Certificates, Licenses, Registrations:
If driving for company business, must have a valid California driver’s license and proof of current insurance coverage.
Physical Demands:
This is an office-based position involving primarily non-manual labor. Reliable, predictable, on-time attendance is essential, particularly to assure supervisory duties are fulfilled. The associate will spend most of the working time sitting, standing or walking, including significant time using computers. Position requires repetitive hand movements, the daily ability to focus on several tasks at one time, analyze data and draw conclusions, quickly and accurately perform mathematical computations, analyze and explain complex information, communicate frequently with others in person, over the phone, via electronic communications, and in group presentations. The associate must be able to travel regularly among the branches supervised. The position may include occasional lifting of up to 50 lbs.
