The Boeing Company is currently seeking an Executive Office Administrator to join our team in Arlington, VA.

Position Responsibilities:

  • Manages regional vice president’s calendar and scheduling

  • Provides administrative support to regional vice president, business director, marketing director, and sales directors

  • Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports, assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement, and verifies payments to corporate credit cards

  • Collects, compiles, and monitors data to provide visibility of status for traveler's review and/or signature

  • Creates, edits and maintains electronic and written communication

  • Supports, coordinates and runs executive meetings (logistics, content, presenters)

  • Serves as regional compliance focal

  • Includes Deferred Prosecution Agreement (DPA) and Records Information Management (RIM)

  • Tracks and maintains information relative to department and business operations (maintains and updates organizational charts, uploads files to the SharePoint, produces, processes and stores Pro-6 information in a secured location

  • Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information

  • Tracks and maintains designated conference room schedules for availability and efficient use of resources

  • Completes Ariba ordering, shipping, desk reservations

  • Provides guidance to less experienced employees

  • Works under minimal supervision

The selected candidate must be able to perform and multi-task in a high energy, fast-paced environment. The chosen candidate will possess strong relationship building skills, as well as the capability and flexibility to work with different leadership styles.

This position is expected to be 100% onsite. The selected candidate will be required to work onsite at one of the listed location options.

This position must meet export control compliance requirements. To meet export control compliance requirements, a “U.S. Person” as defined by 22 C.F.R. §120.15 is required. “U.S. Person” includes U.S. Citizen, lawful permanent resident, refugee, or asylee.

Basic Qualifications (Required Skills/ Experience):

  • 3+ years of experience in coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges

  • 3+ years of experience in managing schedules and calendars using Microsoft Outlook

  • 3+ years of experience with Microsoft Office Products like Outlook, PowerPoint, Excel, and Word

  • Capable to support phone calls during non-business hours (Evenings and early mornings)

  • Capable to work a flexible schedule that includes early mornings, late evenings, weekends, holidays and overnights as needed

Preferred Qualifications (Desired Skills/Experience):

  • 2+ years of experience working with compliance documentation or guidelines

  • 1+ years of experience working cross-functional teams

  • 1+ years of experience ability to collect, assess, organize, synthesize, and analyze data; summarize findings and develop conclusions and recommendations

Typical Education/Experience:

Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+5 years' related work, Bachelor+2 years' related work, etc.).

Relocation:

Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.
