The Executive Assistant to the President manages all aspects of the daily operations of the President’s Office. This individual manages the Administrative Assistants of various College Executives. This position requires strict confidentiality, continuous contact with a wide variety of internal and external constituencies, excellent time management skills and a commitment to serving the college community.

Specific Duties and Responsibilities

  • Maintains the President’s calendar and schedules all appointments.
  • Oversees, manages and evaluates Administrative Assistants of the Executive Staff.
  • Prepares daily correspondence and reports as directed by the President.
  • Receives and screens telephone calls and visitors.
  • Prioritizes incoming mail; Sorts outgoing mail on a daily basis so that information is disseminated in a timely manner.
  • Maintains filing system for the President’s files.
  • Arranges and coordinates meetings, conferences and other activities as directed including but not limited to Board and Committee meetings.
  • Maintains trustee calendars, e-mail and correspondence.
  • Maintains and updates all board policies.
  • Coordinates and attends all Board meetings; records roll, voting and minutes.
  • Makes travel arrangements for Board of Trustees and President, and processes travel expense reports.
  • Prepares and distributes monthly Board materials in preparation for the Board meetings.
  • Maintains Board resolutions, meeting agendas and supporting documentation. Provides Board updates and postings for College Web site and Intranet.
  • Maintains attendance records for direct reports to the President.
  • Monitors/prepares all payables and receivables for the Office of the President.
  • Responsible for general institutional memberships and updates to directories.
  • Other duties as assigned.

The primary and most important overall responsibility of all employees is to provide service in a pleasant, helpful, and effective manner to our students and other members of the College community.

Minimum Qualifications

Education Required:

Bachelor’s degree in public administration, policy and planning, business administration, higher education, or related field

In lieu of required degree, an Associate degree and ten (10+) years of directly applicable experience may be considered.

Experience Required:

REQUIRED: Five (5+) years’ experience as an Executive Assistant to CEO/President.

PREFERRED: Prior supervisory experience.


Skills/Abilities /Knowledge /Other Requirements:

  • Ability to maintain strict confidentiality.
  • Exceptional organizational and time management skills.
  • Ability to use the college’s software and technology for word-processing, spreadsheet, databases and presentations. Knowledge of local networking and shared resources. Familiarity with various hardware (computers, printers and tablets).
  • Ability to take dictation and minutes.
  • Ability to communicate professionally at all times.
  • Adherence to policies and procedures of the college, including ethical and professional standards.
  • Understanding of budgets and contracts.
  • Exercises good judgment in handling highly sensitive matters.

Additional Information

INSTITUTIONAL EFFECTIVENESS:

Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
