Executive Assistant to the CEO Job at USC

USC Credit Union, located steps from USC’s University Park campus near Downtown Los Angeles, is looking for an experienced Executive Assistant. This position reports directly to the Credit Union's CEO, and is responsible for administering operations for, and on behalf of, the CEO. This position exercises independent judgment requiring minimum supervision.

Responsibilities include, but are not limited to:

  • Establishes and maintains contact with the CEO’s direct reports and USCCU’s volunteer officials

  • Completes a broad variety of administrative tasks, to include managing all incoming and outgoing correspondence (telephone, mail, and email), managing the CEO’s calendar, coordinating all CEO and volunteer official travel (to include transportation, lodging, meeting and meal planning as needed), completing expense reports and managing the division’s document storage requirements

  • Researches, prioritizes, processes and follows up on incoming member, regulator, University, trade association, vendor or other stakeholder inquiries, requests, issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response

  • Manages departmental projects on behalf of the CEO, assists in formation of ad hoc committees (when applicable) and monitors and reports on progress toward the completion of assigned tasks and/or the attainment of Credit Union goals

  • Plans staff meetings, board meetings, committee meetings, and other events hosted by the CEO. Coordinates arrangements with internal and/or external vendors to include travel, lodging, refreshments, guest speakers, presentation materials and equipment. Attends events to ensure arrangements are handled according to plan and/or as a representative of the Credit Union.

  • Manages the CU Boardroom online portal

  • Gathers and analyses data housed in internal and external databases as requested by the CEO

  • Serves as the Credit Union’s custodian for all-staff, management, and Board meetings in which minutes are necessary

  • Reviews newspapers, journals and other types of publications for information of special interest. Highlights pertinent materials to conserve executive's time and prepares summaries, reports and newsletters for staff and officials

  • Administers operations of CEO’s office including authorizing acquisitions, maintenance and repair of equipment and facilities

  • Coordinates revisions for and ensuring conformity to Credit Union and relevant University policies and procedures

  • Sorting, filing, and coordinating paperwork for the CEO

  • Performs other related duties as assigned or requested

Compensation:

The annual base salary range for this position is $75,000 - $85,000. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
