Executive Assistant to CEO Job at Vista on 5th
Position Summary
Provides assistance to the CEO and/or other key executives requiring extensive knowledge of organization, policies, and procedures. Types a variety of correspondence and documents of a confidential and sensitive nature. Screens and places phone calls, arranges meetings, and analyzes reports and correspondence as assigned.
Essential Duties and Responsibilities
· Tracking of mandated state: incident reports, notification of death, & confirmation of flu incidences
· Creation of general & PCC specific forms & templates (including, but not limited to progress notes & resident care planning).
· Completion of 30-Day Notice of Termination & dissemination
· Completion of the Annual Narcotic Destruction process in conjunction with the DEA
· General scheduling, meeting reminders, filing, and contracting
· Point of contact for facility Board of Directors; creation of meeting materials, scheduling, etc.
· Inventory management and replenishment (Clinical, Facilities, & General Office), research of advantageous suppliers or deals
· Limited Service Laboratory Registration completion
· Gala Planning and Organization
· Maintain Contact Lists
· Send Mail
· Manage Petty Cash Disbursements, Replenishment, and Reporting
· Complete Event Registrations and Make Appropriate Travel Arrangements
· Take and Direct Calls
· Take Dictation
· Submit and reconcile expense reports and open invoices
· Generate and Disseminate Internal and External Communications such as mailings and “blast emails”
· Produce reports, presentations and briefs
· Develop and carry out an efficient documentation and filing system
· Assists with internal audit procedures for regulatory compliance
· Reports and filings through the Health Commerce System
· Represents non-profit organization during business gatherings.
