Executive Assistant Job at Western Collective

We are looking to hire an Executive Assistant to help assist our founder with a range of different initiatives.This opportunity is for someone with big ambitions, who is really looking for a role that will challenge them and force them to grow. You have the unique opportunity to work alongside the founder of a fast-growing Hospitality startup and learn the ropes of both the beer and the restaurant business.
The ideal candidate should be startup-minded, outcome-driven, and be able to work in a fast-paced high-pressure environment. She/he will be the right hand of the CEO and execute on high priority projects, random things that come up in the day, and simply assist a high level innovator who loves starting things, but not necessarily great at getting them dome, in getting things done with awesome outcomes.
Responsibilities:
- Be a team player and understand that your success is based on how much you can take off the plate of our CEO to enable him to be as effective as possible. You'll need to embrace that fact that you will not have a clearly-defined scope of responsibility and will need to take up any and all tasks that come up
- Monitoring the CEO’s hundreds daily emails to label them, star important ones for his attention and respond to any that you can handle directly
- Ability to learn quickly - there is no specific background we're looking for other than demonstrated ability to make sense of a barrage of information
- Ability to navigate ambiguity - the more you demonstrate effective judgment and autonomy the more complex projects you will be able to take on
- Diplomacy - you must know how to communicate externally with potential recruits, customers, prospects
- Writing ability - you must be able to quickly write professional communications and content directed at leaders
- Extreme attention to detail - in order to take on more important projects, you must prove that you are able to be responsible for the quality of your work
- Proficient with Google Drive Suite with the ability to learn new or updated software.
- Project management skills - not just using tools like Asana, Google Drive, Trello, etc, but your ability to think clearly about how breakdown complex projects into tractable steps and ensure that they get done
- Respond in near real-time to requests or issues that may arise throughout the day and be responsive to emails/texts/phone calls, with contact outside normal business hours.
- Manage complex calendar - schedules, meetings, video/conferences calls
- Act as President's liaison with staff, customers, network, and investors
- Provides high-level administrative support and assistance
- Performs clerical and administrative tasks including drafting letters, agendas, invoices, reports, and other documents
- Willing to get lunch for CEO or setup dinners and other reservations or travel, including last minute and sometimes in stressful situations
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
- Ensure meetings are effective (incl. attendance, setup, minutes and tracking actions).
- Receives incoming communication, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Ensure adequate time is scheduled for CEO to prep for meetings and deliver work outputs, review pre-reads and agendas, breaks and buffers, and sufficient lead time to meet time-sensitive and critical deliverables (ex. earnings prep, review/approve board materials).
- Support leadership team in Boise, ID and global team members as needed
- Acts with discretion and maintains confidentiality; uses good judgement
- Manage the Executive's contacts.
- Excellent time management skills with a proven ability to meet deadlines.
- Scheduling doctor appointments, family travel, and other personal events
- Running errands to take something to the post office, get a poster framed, return a purchase, or deliver a gift to an employee
- Taking on a special project and then handing it off
- Helping out with data entry
- Check in with leadership regularly to assess where help is needed or holes exist, whether large or small
- Monitoring data to ensure sales, COGS, and other information on track daily and weekly
- Filling in:
- Filling in where I can when leadership is absent
- Shifts, purchases, data entry, events, etc.
- Any projects that are hard to assign to someone or that someone doesn’t have time for
- Researching new products, processes, decor, etc.
This is a mission-critical role. If you choose to leave, you will give at least 30 days notice, help recruit your replacement and plan for an orderly transition.

- The CEO doesn’t miss any important emails and they are all properly labeled
- The calendar is organized, accurate and no information is missing
- Travel plans are organized, accurate and everything runs smoothly
- Meetings with the CEO are fast and efficient because you’ve prepared beforehand and anticipated his questions

- You are a fast typer and very efficient with computers
- You are a documentor – you make lists and spreadsheets
- You are a problem solver – you look for ways to make things work better and how to turn chaos into systems
- You are organized and plan ahead, but you don’t get stressed out when things change at the last minute – because they will
- You’re unfazeable - when everyone else is getting stressed or excited, you keep your cool
- You check your email on the weekend and are available to work during the evening and over the weekends when there is a tight deadline – you do what it takes to get the job done
- You are available to be in the office from 9am to 5
- You plan to stay in Boise and commit to this position for 2 years

Benefits
- The salary for this role is $40,000.
- Two weeks paid time off (one week is between Christmas and New Year’s)
