Salary Range: $65,000 - $75,000

LOCATION/HOURS

This is a full-time, hybrid position based out of our San Francisco office location. It is expected that some duties will be performed on-site at least 2-days a week, and some remotely, with the understanding that government and public health guidelines will help determine the extent to which it is safe to carry out in-person and onsite activities.

All candidates must be within commutable distance of SEO’s offices at Three Embarcadero Center Promenade Level, Suite P-1 San Francisco, CA 94111 upon hire.

POSITION OVERVIEW

The Executive Assistant provides primary administrative and operational support to the Executive Director of SEO Scholars as well as secondary support to the Senior Operations Manager.

Work directly with the Executive Director to support all aspects of their daily work routine:
Maintain the Executive Director calendar including meetings with internal staff Advisory Board members, and appointments, lunches, speaking engagements with outside partners and
Collaborate with the Development team to ensure accurate record-keeping in Salesforce.
Arrange Executive Director’s domestic and international travel and lodging arrangements.
Manage Executive Director communications, drafting clear and concise correspondence as directed for both internal and external
Oversee multiple Executive Director work blocks during the week to ensure all obligations and deadlines are
Support Executive Director prioritization and delegation; redirect matters to staff to handle, or handle matters personally, as
Keep the Executive Director advised of time-sensitive and priority issues, ensuring appropriate follow-up.
Attend meetings and take notes of discussion; prepare the initial draft of minutes and
Work with Senior Operations Manager to routinely perform a wide variety of support duties to support Office Operations:
Coordinate maintenance work with building vendors to ensure timely completion and ongoing office
Maintain a welcoming office environment for staff and
Maintain staff culture through planned recognition of birthdays and
Other additional and/or alternative duties as assigned from time to time, including supporting other departments as
Handle occasional copying, printing and shipping, and maintain office
Sort and triage mail and packages in the
Prepare, reconcile, and submit expense reports for leadership team

QUALIFICATIONS

Bachelor’s degree from an accredited college or university
3+ years of related experience in supporting a senior executive or team, preferably in a nonprofit setting
Strong sense of initiative and ability to anticipate needs
Proficient in cloud-based workplace collaboration tools, including Google suite, Microsoft Office, Outlook, Salesforce, Zoom administrator functions
Able to work in fast-paced, multi-priority environment
Excellent communication skills, particularly in writing and email correspondence
Ability to adjust and react with optimism and professionalism, is solution oriented
Strong organizational skills, detail orientation, and project management
Must be in commutable distance to SEO’s San Francisco office and be able to work in-person on a hybrid schedule

The compensation listed in this posting reflects what SEO believes it will pay for this position at the time of this posting.
