Overview:
Reporting directly to the CEO, the Executive Administrative Assistant provides executive, administrative, and development support to the CEO, Board of Directors, as well as the C-Suite and HR. The Executive Administrative Assistant serves as the primary point of contact for internal and external clients on all matters pertaining, in addition to serve as a liaison to the Board of Directors. The Executive Administrative Assistant will work to promote and strengthen Opengate’s brand using social media platforms.

Salary: $65,000-$72,000/Yr (Salary commensurate with experience)
Responsibilities:
  • Assist the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging travel plans, itineraries and agendas and compiling documents for meetings
  • Schedules and attends meetings on behalf of CEO and take minutes for the meetings
  • Manage telephone services including screening, placing, and directing calls received in the administrative office
  • Coordinate the organizing and running of marketing campaigns over Opengate social media platforms
  • Assist with developing new social media strategies and campaigns
  • Maintain an appropriate filing system
  • Provide secretarial and clerical support to programs as directed.
  • Assist with publication of the Opengate Newsletter and Year-End Appeal
  • Manage donor records and correspondence
  • Administer Zoom software
  • Follow federal, state and local governmental regulatory guidelines pertaining to a safe, healthy, and clean work environment, reporting health and safety concerns to the supervisor.
  • Performs other related duties as assigned
Qualifications:
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with
excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including
staff, board members, external partners and donors
  • Excellent level written and verbal communication skills
  • Proven ability to handle confidential information with discretion
  • Proficient in Microsoft Suite
EDUCATION:
  • Associate Degree, Bachelor degree preferred
  • 3+ years of experience in an executive secretarial role
  • Experience working in a nonprofit organization
