Job Description: Events Coordinator

Reports to: The President & CEO of the Club

Position Concept:

The Club provides extraordinary, customized catering and golf events for our members and guests. The Events Coordinator is responsible for assisting in event planning and execution, ensuring that event operations uphold the standards of Del Mar Country Club.

The Events Coordinator will supervise and support restaurant operations, including restaurant and banquet service, and work cooperatively with all other departments as needed for event operations. The position will promote an exceptional experience, providing excellent service to all members, prospective members and their guests. The Events Coordinator will possess a diplomatic team player focus and the ability to foster relationships with Members, Member Guests, and Employee Partners.

Event Functions:

  • Establishing a strong networking presence within the local community
  • Developing relationships with local vendors for table arrangements, limousines, photographers, etc.
  • Assisting in the development of catering menus and pricing
  • Conducting site inspections with potential clients
  • Maintaining accuracy of Catering information in DMCC system
  • Maintaining event calendars, BEO’s, Client Contracts and all other documents related to Catering & Special Events
  • Overseeing and sourcing contracted event staffing
  • Work closely with Del Mar Country Club Administration to provide exceptional events.
  • Any other duties as assigned

Minimum requirements:

  • Experience as an Events Coordinator
  • The ability to work closely and professionally with other staff
  • Track record of developing long term relationships
  • Ability to quickly evaluate alternatives and decide on a plan of action
  • Clear, concise written and verbal communication skills
  • Extensive knowledge of all Microsoft and Adobe programs
  • Ability to complete event billing and contract processing
  • Minimum 3 years prior Country Club or luxury event experience required

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

At least 3 years of banquet experience, with a valid California Food Handler’s Card and Responsible Beverage Service certificate required.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

OTHER QUALIFICATIONS:

Must be able to problem solve when dealing with people and be a team player.

REASONING ABILITY:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
