This job will be performed at our main office, located in White River Junction, Vermont, 72 South Main Street.

Work Hours: Monday - Friday, 8 am - 4 pm

Scope of the job:

The role of the Enrollment Specialist position is to process employer enrollment paperwork following program policies and procedures. The Enrollment Specialist would then be responsible for entering vetted employers into FMS Engine while also completing necessary workflows. Each staff would have a state-specific area of expertise but be able to provide adequate back-up support for each other. This entails review of all incoming emails, printing/saving the timesheets attached, date stamping all timesheets, invoices or enrollment packets that are received through the email account and responding to all incoming inquiries or submissions. This role will enter budgets by veteran into FMS Engine and serve as backup to the Dual Employer Enrollment Specialist.

Qualifications and Skills Level:

  • Associate Degree or equivalent
  • 3-5 years of qualified payroll and/or tax experience
  • Experience in basic accounting practices
  • Working knowledge of generally accepted accounting practices
  • Understand Profit & Loss Statements and Balance Sheets
  • Effective communication
  • Ability to maintain confidentiality practices

Duties and Key Responsibilities

Essential Job Functions:

  • Set up individual Employers in payroll software
  • Manage veteran payroll email account
  • Secure workers compensation policies
  • Provide customer service to care advisors at the Agencies on Aging, keeping them informed of changes or concerns regarding veterans or their employees
  • Perform timesheet training to newly enrolled veterans and their employees
  • Supply late payments/charges to billing monthly for processing
  • Scan and tag all budgets, and employer related documents/packets
  • Work closely with billers to inform them of disenrollments, enrollments, and late payments
  • Enter new/revised budgets into FMS Engine (billing and payroll software)
  • Do outreach to employers on issues with timesheets (errors on timesheets or questions surrounding submission totals)
  • Review and correct timesheet errors and perform budget fund transfers to pay up to the authorized budget amounts. Provide any overage reports to Agency Care Advisors.
  • Enter and process accounts payable/invoices for veterans.
  • Provide customer service to employers/employees and assist them in completing their enrollment paperwork properly
  • Verify entry of new employers into payroll software: tax rates, account numbers, etc
