Job Description:
We have an exceptional opportunity for one (1) Office Specialist 2 position at the Deer Ridge Correctional Institution in Madras, OR. This position provides a wide variety of administrative and confidential clerical services and support to the Security office, promoting harmonious working relationships with other sections within the institution as well as other agencies. This recruitment will be used to establish a list of qualified applicants and could be used to fill future vacancies.

WHAT WILL YOU BE DOING?
The purpose of this job/position is to assist the Staff Deployment Coordinator in processing payroll, both manually and electronically. Auditing reports and providing the support functions necessary for the Staff Deployment Coordinator, the Assignments Lieutenant and the DRCI Operations Division. Be knowledgeable enough of all aspects of the Staff Deployment Coordinator position to act as back-up in their absence.
Minimum Qualifications
  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
  • an Associate's degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience; OR
  • College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

  • Managing a calendaring system using Outlook;
  • Scheduling meetings both in person and via Microsoft Teams;
  • Monitoring and ordering supplies;
  • Payroll system data entry, tracking, and filing both electronically and hard copy;
  • Inventory control;
  • Prepare records and reports;
  • Coordinating duties;
  • Prioritize work assignments with deadlines;
  • Strong communication skills (verbal and written);
  • Process, review, and track reports and documents;
  • Managing and working with confidential information;
  • Advanced Microsoft Office (Word, Excel, Outlook, etc.);
  • Organizing, prioritizing, attention to detail, multi-tasking, and fast paced organization;
  • Explain and apply statutes, rules, regulations, policies, procedures, and guidelines;

Working Conditions
This position is located inside the Deer Ridge Correctional Institution and works in close contact with adults in custody in the institution setting and may be exposed to hostile situations or incidents. You will be working with computers for an extended period. This position may perform continuous physical activity including, standing, sitting, and heavy lifting with or without accommodation. You will work as a member of an office team where conversations and paperwork of a sensitive nature are generated and will be required to keep this information confidential.
Requirements for Employment
You must be able to pass a Criminal Justice Information Systems (CJIS) computer and fingerprint-based and computerized background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following convictions are likely to result in being disqualified for this position: felony convictions, computer theft, identify theft and fraud. CJIS clearance is done at the conditional job offer.

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range. Also provided are fully paid retirement program, modest life insurance policy, paid holidays, vacation, and sick leave.
