Job Title: Barron Equipment Inc., Dispatch and Customer Success

Job Purpose

Responsible for providing Barron customers with excellent customer service, and performing daily support to the Service Department.

Performs administrative and office support activities for the Service Department. Duties may include fielding telephone calls, vendor interaction, receiving and directing visitors, word processing, creating spreadsheets, and filing. Extensive software skills, Internet research abilities and strong communication skills are required.

Primary Job Responsibilities

  • Provides excellent customer service to all external customers and employees at Barron Equipment
  • Answers incoming calls and directs phone calls to appropriate employees using Decision Tree-One Call Solution
  • First point of contact on all after hours calls
  • Takes service phone calls, creates sales order & job sheets in P21
  • Creates and utilize spreadsheets for customers for expense purposes
  • Prepares quotes and orders for incoming part orders & parts determined in the field
  • Performs daily tasks for the service department (phone/email/pricing/gathering information)
  • Keeps track of DNF (Did not finish) daily and informs Service Manager when part(s) arrive
  • Collects and invoices all labor job sheets for service department
  • Maintains commission and billable hours for managers and payroll department to obtain information
  • Maintains payroll hours for service department
  • File and doc link proper paperwork
  • Order supplies and materials for service department
  • Follows up on invoiced PO’s from customers
  • Enters orders for Door salesman’s upcoming job needs
  • Prepares report and meets with John Deere (vendor) on status of equipment
  • Demonstrates the ability to multi-task to complete job duties
  • Possess attention to detail and problem solving skills
  • Exhibits excellent written and verbal communications skills
  • Provides support to customers at Barron Corporate Office
  • Displays a positive, friendly and respectful attitude towards customers and co-workers
  • Maintains a safe and clean environment by keeping workstations neat and organized

Supervisory Responsibilities

This position does not require any supervisory duties

Physical Demands

  • Occasionally lifts 10-20 lbs; boxes, paperwork
  • Performs 6 hours of an 8 hour work day in a sitting position behind a desk
  • Operates a fax & copy machine
  • Frequently types on a keyboard
  • Frequently lifts phone receiver to speak with customers and employees
  • Reaches overhead to file paperwork
  • Occasionally works in warehouse and showroom
  • Climbs stairs to employee lounge and conference room

Cognitive Demands

  • Calculates unit pricing for parts & services on excel spreadsheet
  • Uses a calculator to determine percentage of customer vs vendor pricing
  • Is proficient on how to determine cost and profit
  • Applies good reasoning to determine customer’s needs

Work Schedule
The hours for the position are Monday thru Friday; 8:00am-5:00pm
This position is Exempt

Qualifications

  • Employee must be able to execute strong customer service skills
  • Proven administrative experience; minimum of 2 years in previous administrative position
  • Knowledge of inside and outside sales
  • Proficient in Word & Excel

Preferred Qualifications

  • Knowledge of P21 and Salesforce
  • Bachelor’s in Business Degree
