Must be available to start work between 9am - 12pm. Must be available to work a Saturday or Sunday each week!!

The Customer Service Representative is responsible for handling incoming/outgoing telephone calls, portal and email requests as they relate to scheduling appointments, taking messages and paging providers.

Essential duties:

  • Answers all incoming telephone calls; transfers calls to other departments and personnel as appropriate.
  • May be required to answer incoming appointment requests via e-mail or portal.
  • Ascertains the urgency of all phone calls; is able to appropriately triage and direct urgent and emergent calls according to established procedures to ensure optimal quality patient care.
  • Records messages for Physicians and staff; ensures accuracy and completeness of information and timely delivery of messages.
  • Contacts Physicians working off-site if necessary to ensure timely delivery of urgent messages.
  • Schedules appointments for, communicates and coordinates scheduling with clinical personnel to optimize patient care and efficiency.
  • Schedules new patient appointments; obtains appropriate information, assists the patient in choosing a Physician when necessary, enters preliminary account data into computer, confirms primary care status/insurance eligibility as needed, communicates payment expectations to patient.
  • Listens to and accurately assimilates detailed information in order to understand what the caller requires.
  • Communicates with positive tone of voice and general disposition that indicate caring.
  • The ability to relate to individuals (callers as well as team members) that have varying personalities and needs. Includes displaying empathy towards calls for their particular situation.
  • The ability to probe by asking appropriate questions so as to identify the caller’s specific needs.
