Job Description
GENERAL PURPOSE
This position is the Court Coordinator to the Presiding and Associate Judge, monitors the courtroom while in session, complaint/citation intake, and credit for time served process. Performs a wide variety of specialized administrative duties in support of the Municipal Court including the initiation, processing, and maintenance of legal documents, correspondence and statistics; and provides information and assistance to the public.
SUPERVISION EXERCISED
Employee has no supervisory responsibilities.
Essential Duties
Core Competencies:
Coordinates all court dates and dockets between judges, prosecutors, attorneys, and the jail.
Assist with overseeing citation/complaint intake to ensure timeliness and accuracy of all cases filed.
Oversee the issuance of summons.
Periodically reviews courtroom processes and procedures and suggests modifications and improvements as needed.
Coordinates all attorney cases between the judges, prosecutor, and attorneys.
Clerks in the courtroom and monitors the courtroom while in session.
Assists in managing the jury.
Reviews court cases prior to docket in order to answer questions asked during court by the judges.
Documents pleas and judicial orders that occur in the courtroom, as they occur, into the court case management system.
Complete after-action court activity, i.e., final judgments, notices to defendants who did not appear, bailiff affidavits, quality control.
Oversees jail arraignments and credit for time served requests.
Assists with the training of Defendant Services Representatives.
Compiles and maintains a wide variety of court records, statistical reports, and materials.
Prepares and explains court orders and procedures to defendants and attorneys.
Perform all Defendant Services Representatives duties as needed.
Administers oaths.
Assesses fees as required by statute.
Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulations; possesses and maintains a valid driver’s license, if required, and comply with City of Killeen driving policy accordingly.
Performs other duties as assigned.
Required Minimum Qualifications
Education and Experience:
- Graduation from high school or equivalent; and
- Two (2) years of increasingly responsible related experience; or
- One (1) year of related college level training; preferred.
- Any equivalent combination of education and experience.
Knowledge, Skills and Abilities:
- Municipal Court experience preferred.
- Working knowledge of computers.
- Ability to adapt to constant change.
- Considerable knowledge of general office procedures.
- Working knowledge of legal language and legal procedures.
- Ability to make sound judgment and decisions.
- Ability to multi-task in a very fast paced environment.
- Ability to handle high stress levels due to the fast-paced environment and dealing with difficult individuals regarding criminal cases.
- Ability to cross train and assume duties of other personnel on an “as needed’ bases.
- Ability to facilitate in house training.
- Ability to work with angry of difficult defendants.
- Maintains regular and punctual attendance.
- Municipal Court experience preferred.
Supplemental Information
SPECIAL REQUIREMENTS
Must pass the Level 1 Municipal Court Clerk Certification within two years.
Must have a valid driver’s license by date of hire.
Must obtain and maintain a Texas Driver’s License within 90 days of hire.
