Communications Assistant Job at TriWest Healthcare Alliance

Provides administrative support to the Communications & Creative Services department, including tracking incoming project requests and documenting workflow, coordinating the ordering of, shipping and distribution of TriWest logo specialty products, organizing and maintaining materials inventory, scheduling meetings and maintaining calendars, meeting planning, arranging travel and creating expense reports, and developing and maintaining spreadsheets and contact lists. Provides in-person administrative support for events.


Education & Experience


Required:

  • Strong initiative, excellent oral/written communication, organizational, and planning skills
  • High School diploma or G.E.D.
  • 3 - 5 years of administrative experience with project coordination, event planning and meeting planning
  • Must have working knowledge of Microsoft Office software including Outlook, Word and Excel


Preferred:

  • Experience in a marketing or communications environment
  • Experience working for executive leaders

Key Responsibilities


  • Assists the Communications and Creative Services team with general administrative support needs.
  • Coordinates distribution and tracking of materials and specialty product and ensures professional image to internal and external customers. Assists with ordering of specialty products as requested.
  • Demonstrates ability to work well in a team environment, by coordinating with other staff on the team and working with others, including C-suite executives and their assistants, throughout the company.
  • Attends Executive/Board of Directors meetings and corporate events to provide onsite support, as requested.
  • Organizes and supports department correspondence needs and company-wide shipments.
  • Anticipates and prepares packets of materials needed by department leaders for correspondence, appointments, meetings, conferences, and other events.
  • Maintains Communications storage room including tidiness and orders needed supplies. Maintain general appearance of area (tidiness, etc.)


  • Ensure printers in Communications area are operational and refill with paper; submit work orders as appropriate.
  • Establishes and maintains effective relations with members of the management team, TriWest executives, staff and external entities.
  • Coordinates lunches as requested, for CLT members and/or executive meetings.
  • Schedules and maintains calendars, as requested.
  • Coordinates travel arrangements for department members, including flights, hotel, and ground transportation. Creates travel expenses.
  • Collaborates well internally with others across the organization.
  • Maintains confidentiality of information not publicly disseminated. Ensures that confidential records are safe-guarded in an appropriate manner. Takes steps to ensure release of confidential information to others is appropriate.
  • Uses PowerPoint, Excel, and Visio to edit presentations and organization charts/process flow charts, as requested.
  • Performs other duties as assigned.
  • Regular and reliable attendance is required.
