Central Document Imaging - Team Lead - Capital City Bank - More than your bank. Your banker.
Hours: Monday - Friday 8:00 a.m. - 5:00 p.m.
General Summary:
Responsible for the overall administration and coordination of activities for the entire Centralized Document Imaging Department. Develops, reviews and recommends overall objectives, policies and procedures. Plans for increases in staff, hiring, management and any associated actions related to the efficient operation of the department. This position has direct responsibility for employment decisions.
Takes a leadership role in moving Capital City Bank to a paperless institution by seeking and implementing opportunities to do so. Works with other managers to accomplish these goals.
Serves as department representative with regards to Bank-wide initiatives.
For key positions within Capital City Bank that manage, oversee, and mitigate risk, or have direct oversight of associates whom perform these duties, training and/or certifications may be needed to ensure the Bank is adhering to the best and most current information security practices.

Principle Duties and Responsibilities:
- Manages the day-to-day operations of the department
- Provides advice, guidance and support to department’s associates
- Develops and implements policies and procedures
- Reviews, approves and upgrades procedures as needed
- Is a “working manager” (scanning and indexing) as workloads dictate
- Analyzes problems and develops procedures for resolution
- Creates a culture of process improvement
- Focuses on streamlining processes
- Trains and manages the Centralized Document Imaging associates and their workloads
- Ensures all work is performed by the specified turnaround time
- Develops, maintains and continuously improves records management
- Develops long and short-term plans, goals and objectives that will meet Bank goals
- Identifies and recommends ways to improve efficiency and/or outcomes in work standards
- Monitor the quality of the converted documents to ensure the accuracy and completeness of electronic images
- Addresses complaints and resolves problems
- Actively oversees and manages production and quality control efforts
- Assures compliance with applicable policies, procedures and governmental regulations
- Oversee the implementation of Enterprise Workflow to automate manual tasks
- Deployment of Synergy Email Assist, E-Sign, and other complimentary Jack Henry workflow products
- Documentation of process improvements and workflow documentation of Bank processes
- Provide direction for workflow improvements utilizing current and new product offerings

Associates will consistently follow policies and procedures as established by Capital City Bank, with department managers setting the standard.
Associated Duties:
Provides additional support to manager and department colleagues.
Completes all assigned/required Bank training within established timelines.
Knowledge, Skills and Abilities (KSAs) Required:
The following KSAs are usually acquired through work experience and/or specialized course(s):
1. Minimum of two (2) years of experience in a supervisory capacity.
2. Ability to read and follow detailed instructions.
3. Service-based PC application experience.
4. Adhere to extremely high level of confidentiality.
5. Ability to work independently.
6. Word and Excel experience, a plus.
7. Strong communication skills - both verbal and written, bias for action / self starter / self motivated
8. Requires exceptional proven and effective analytical, interpersonal planning and organizational skills
9. Records and information management experience a plus
10. Strong background in technical aspects of workflow process and process improvement methodologies
Education:
Bachelor’s Degree in MIS, Business Administration, Finance, or related from an accredited college required. Relevant experience may substitute for the education requirement. Technical training in systems utilized also would substitute for education requirement.
Working Conditions:
1. Must be able to sit for long periods of time.
2. Must be able to bend, lift and pull on files.
3. Overtime as required.
4. Open cubicles and slightly noisy environment.
5. In the rare instance of a major or extensive natural disaster, epidemic or pandemic occurrence, or other disruption within our footprint, it may be necessary for associates to relocate or telecommute before, during or after, to ensure business continuity.
6. Positions approved for Hybrid Flex/Remote Work are determined by department manager and HR. All associates approved to participate in a Flex/Remote work schedule will review and acknowledge the guidelines outlined in the Hybrid Flex/Remote Work Policy.
