BASIC FUNCTION: The Catering and Conference Services Manager is responsible for soliciting, booking, and coordinating catering activity including developing and maintaining accounts, implementing catering marketing strategies, and maintaining customer satisfaction. The CCSM is also responsible for liaising between the group client and the hotel sales and operations departments to plan and execute successful events to meet/exceed revenue/profit goals and create repeat business.
QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE
· A four-year college degree or equivalent education/experience.
· 2+ years of experience in a catering sales or convention services position
· Advanced proficiency in the use of systems including Salesforce/Amadeus (Delphi), Opera, CVENT, and Property Management Systems as well as Microsoft Office
· Outstanding customer service skills and ability to attend to guests and associates in an attentive, friendly, courteous, and service-oriented manner
· Exceptional communications skills in terms of the ability to negotiate, sell, and influence clients and meeting attendees
· Must be able to speak, read, write, and communicate in English to adequately perform the duties of the job
· Knowledge of event planning/hospitality principles and practices
· Ability to investigate and analyze current activities or information in the sales/marketing field
· Ability to travel to area businesses and accounts to solicit new business as needed
· Ability to make decisions based on established policies and procedures and guidance from the DOSM
· Must be effective at listening to, understanding, and clarifying inquiries made by guests, clients and hotel team
· Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary
· Ability to multitask and prioritize daily workload
· Outstanding organizational and time management skills
· Ability to handle sensitive material with the utmost discretion and confidentiality

ESSENTIAL FUNCTIONS:
Negotiate and book new and repeat catering business through various efforts including referrals, networking, etc., to maximize catering revenue.
Respond to all catering RFP’s received via all channels including internet/website, direct inquiries, third-party lead sites, and walk-ins. Create and send proposals, collateral, and menus, follow up with potential clients and log all activity in Sales System.
Work with clients to obtain all final booking details, i.e., food & beverage, room set-up, audiovisual requirements, arrival/departure times, meeting agenda, and billing arrangements.
Ensure quick, efficient responses to customer issues, comments, and problems to ensure a quality experience and enhance future sales prospects.
Ensure Banquet Event Orders (BEOs) and Resumes are accurate and provide all relevant information to departments giving them ample time to plan and execute.
Schedule and attend regular meetings with the F&B/banquet department and operations departments to review Resumes and BEOs for upcoming events and updates on other groups/events as needed.
Input event actuals into Delphi each day (Salesforce/Amadeus)
Assist in the development and execution of the budget and marketing strategy by analyzing historical, current, and future hotel/market trends and creating selling strategies to capture the maximum amount of revenue and meet/exceed sales goals.
Maintain up-to-date knowledge of all property offerings, food & beverage minimums, room rental, and hotel rates, strategies, discounts/promotions, meeting space layout, capacities, and catering menus with pricing.
When needed, participate in trade shows, and community, professional, and industry organizations to maintain high visibility/exposure for hotel.
Maintain accurate, legible records and files to provide sales history and continuity of quality service.
Participate in the preparation and coordination of after-hour hotel events and fundraisers including setting up, interacting with the guests/customers, assisting in clean up, and ensuring that the events are successful.
Coordinate with hotel accounts receivable manager to ensure final bills include all charges such as F&B, meeting room rental, AV charges, and attrition/cancellation charges before they are sent out to the client.
Anticipate and effectively respond to client issues, comments, and problems to ensure a quality experience and enhance future sales prospects.
Coordinate and communicate with Sales, Front Office, Catering, and Reservations teams in order to monitor guest room blocks and special reservation needs as outlined in the Resume/BEO.
Plan and conduct pre and post-convention meetings with clients and respective departments.
Ensure all site inspections and client visits to the hotel are successful by planning carefully and communicating accurate details in advance to all departments.
Assist sales staff in developing and continually enhancing relationships with key corporate, business, and travel industry accounts to maintain and increase our market share.
Effectively communicate all hotel policies, procedures, and charges in regard to services being provided to the client.
Perform administrative duties relevant to account responsibilities in compliance with corporate guidelines.
Fill in and support coworkers and team as needed to ensure efficient operation.
Able to work an 8 am to 5 pm schedule and willing to be flexible when in-house groups dictate an alternative schedule or business needs are at hand.
Perform special projects and other duties as assigned and participate in task force and committees as requested by management.
MARGINAL FUNCTIONS:
To assist any department as is necessary due to business levels; which may require physical activity.
LOCATION/ENVIRONMENT:
The property is the primary work location for this job and requires employees to report to the property for each scheduled workday. This job is not eligible for remote work.
The environment for this position includes the need to be mobile throughout the property, including the use of elevators and stairs, office fluorescent lighting, and the daily use of computer terminals.
